JOB TITLE: SUBSTITUTE SCHEDULER
TEAM: SUPPORT STAFF
REPORTS TO: HEAD OF SCHOOL/PRINCIPAL
SUPERVISES: NA
FLSA STATUS: NON-EXEMPT (PART TIME -HOURLY)
CALENDAR DAYS: 176 - 20 HOURS A WEEK
LOCATION: GATEWAY COLLEGE PREPARATORY SCHOOL, GEORGETOWN TEXAS
POSITION SUMMARY:
Responsible for filling teacher absences and scheduling substitute teachers to cover classes to ensure they are adequately staffed. Handle administrative task including but not limited to keeping accurate records of sub jobs and hours, training and communication and assist with substitute recruitment. This role requires strong organizational, communication, and problem solving skills to maintain a smooth and effective learning environment.
DUTIES AND RESPONSIBILITIES:
Prepare substitute verification records for payroll to then review and process
Responsible for scheduling substitute jobs
Assist with sub application screening, interviewing and recommendation to ensure an adequate pool of qualified subs are available
Tracking sub onboarding online training
Ensuring all classes are covered
Assisting staff with sub needs/coverage
Printing and prepping daily sub rosters
Maintain sub board and digital files
Maintain sub sign in/out sheets
Complete Daily sub verification records for payroll to then review & process
Help cover classes if a sub is running late but would be on rare occasions
Provide general administrative support as needed
Maintain campus wide sub roster
Onboard new subs to campus procedures
Maintain sub badges
Submit sub extra help forms
Maintain and reset sub email password and computer log in information
Maintain sub loaner computers
Communicate sub needs with admin, staff and subs
Create and maintain a variety of documents, records, files, manuals, and other material, often containing confidential material
Provide customer service to all stakeholders including staff, students, parents, administrators, subs, and other community members
Support with office clerical & data entry duties
Help with special projects when requested
Perform other duties as assigned
WORKING CONDITIONS:

KNOWLEDGE, SKILLS AND EXPERIENCES REQUIRED:
Knowledge of:
Proficient skills in typing, computer (to include major word processing, database, spreadsheets in Excel and Google and integrated software programs), file maintenance and other office machines.
Proficiency in using social media and web communications strongly preferred.
Basic reading, writing, and arithmetic skills required.
Knowledge of Microsoft Office and telephone protocol.
Duties require professional verbal and written communication skills, and the ability to positively interact with students (K-12) is critical.
Effective organizational, communication, and interpersonal skills
Ability to meet established deadlines
Experience:
Three to five years of administrative/data entry experience preferably in a public education environment
Education:
High school diploma or GED, some college preferred.
Salary : $17 - $20
