Automotive Warranty Administrator / Service Support

Orem Mazda is looking for an Automotive Warranty Administrator to join our Service Office team. Warranty processing is the primary responsibility, with additional customer relations and daily Service Department support duties.

You'll ensure warranty claims are processed accurately, repair orders are properly documented, and manufacturer requirements are met, while helping our team deliver a positive customer experience.

Previous automotive warranty experience is preferred. We're also open to candidates with strong dealership service office experience who are ready to grow into the role.

Compensation

• $18-$23 per hour, depending on experience and qualifications.
• Experienced Automotive Warranty Administrators start at $23 per hour.
• Final compensation is based on dealership experience, warranty knowledge, and overall qualifications.
  
  

What You'll Do

Warranty & Repair Order Processing

• Process, submit, and monitor manufacturer warranty claims.
• Review repair orders for accuracy, required documentation, and compliance with manufacturer policies.
• Resolve rejected, unpaid, or returned claims.
• Invoice repair orders and maintain organized warranty files and supporting records.
• Work with Service Advisors, Technicians, Parts, and Management to resolve claim issues.
  
  

Customer Relations & Service Support

• Provide friendly, professional assistance to customers in person and by phone.
• Support Service Advisors with customer updates and follow-up.
• Assist with cashiering, invoice questions, and a smooth checkout experience.
• Listen to customer concerns and coordinate resolution with Service Advisors and Management.
• Maintain accurate customer contact information and assist with daily service office needs.
  
  

What We're Looking For

• Previous dealership warranty experience and knowledge of manufacturer claim processes preferred.
• Experience with dealership management systems, DealerTrack experience is a plus.
• Strong attention to detail, organizational skills, and time management.
• Excellent communication skills and the ability to handle customer concerns professionally.
• Strong computer and data-entry skills.
• Ability to work independently, manage multiple priorities, and keep warranty work on track.
• Positive attitude and a commitment to teamwork.
