Benefits to You

  • We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.

Position Highlights

The Jackson County Circuit Court in Medford, Oregon, is hiring a Civil/Family Clerk (Court Operations Associate).

In this role, you will file and process civil and family cases, from the date of opening through post-judgment activities. You will enter documents into the case register, update case information, prepare and certify copies, and schedule cases in the court calendar. You will prepare documents, judgments, and orders needed for court, review them for accuracy and completeness, and route them to judges for signature.

Additionally, you will monitor pending cases, prepare and send notices and other correspondence, help prepare abuse prevention petitions and orders, and process paperwork that the sheriff’s office needs. You will spend part of your time scanning documents, verifying the quality of the scanned images, and uploading the documents into the case management system.

You will provide customer service to the public, litigants, attorneys, agencies, judges, and court staff by answering questions about court policies and procedures, as well as providing information about court calendars and the status of cases. The support you provide will be in person, over the phone, and in writing.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent.

AND

At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience performing clerical or administrative support with strict deadlines in a business or professional setting.

  • Experience using computers and software programs to access and input information and to complete a variety of work, including coordinating schedules and maintaining calendars.

  • Experience providing customer service to a variety of individuals in challenging circumstances.

  • Experience explaining policies, procedures, or processes on behalf of an employer.

  • Experience reviewing documents for accuracy and completeness.

Working Conditions

  • This is a full-time position, and the work schedule typically is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.

  • Occasional after-hours or overtime work may be required.

  • Frequent phone and in-person contact with people from diverse backgrounds.

  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.

  • Daily contact with victims of domestic abuse.

  • Daily contact with the public at the customer service counter.

  • Long periods of sitting or standing to perform daily data entry.

  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.

  • The qualified candidate must start the process of CJIS clearance within the first week of hire.
