- Receive, create, prioritize, assign, and monitor work orders using a Computerized Maintenance Management System.
- Provide timely feedback to team members, partners, supervisor, tenants, and other stakeholders. on work performed and timelines for repairs.
20% Coordination & Communication
- Serve as a central liaison between employees, technicians, supervisors, tenants, and other stakeholders.
- Facilitate communication to coordinate equipment downtime and project timelines.
20% Project Support
- Assist project managers by reviewing project scopes, identifying resource needs, and supporting procedural planning.
- Coordinate with internal units, external agencies, and community stakeholders to gather input and meet project requirements.
- Schedule and support meetings, hearings, and other collaborative sessions.
- Monitor project timelines and milestones, ensure procedural steps are completed, and stakeholders are informed.
- Make timeline and project plan adjustments as needed and when issues arise, keeping the client informed of any changes that may need to be made
- Support documentation and file closure upon project completion.
10% Vendor & Contractor Support
- Coordinate with external contractors – initiate work via phone or email, assist in setting up the time when the work will be performed, relay any changes to the schedule and manage billing once work is completed. Working with vendors or contractors happens on a daily basis.
- Assist in obtaining bids, scheduling services, and ensuring contract compliance.
10% Administrative
- Train and provide lead work to student employees in creating work requests, coding invoices, purchasing supplies, responding to email requests, Teams messages, and answering phone calls.
- Attend daily and weekly coordination meetings, attend schedule department meetings
- Assist in developing daily and weekly maintenance schedules.
- Coordinate reactive and preventive maintenance tasks to minimize operational disruptions.
10% Inventory & Procurement
- Monitor inventory levels of spare parts and supplies.
- Initiate purchase requisitions and ensure materials are available for scheduled work.
10% Documentation & Reporting
- Maintain accurate records of maintenance activities, inspections, and repairs.
- Pulling reoccurring reports to analyze services, collect financial reporting information and labor reports by trades/position on work orders.
- Account management for all fixed assets including purchase price, dates, location, and warranty information.
Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. Two of the required years must have included administration or oversight of an on-going project or program. A Bachelor’s degree in Business Administration, Management, Public Administration or a closely-related field may be substituted for up to two years of the required experience. There is no substitution for the two years of administrative experience. Preference may be given to individuals with experience in a specialty area specific to the position opening.
- Demonstrated ability to plan, organize, evaluate, prioritize, manage, and meet deadlines.
- Demonstrated ability to manage multiple project activities simultaneously.
- Commitment to promoting an inclusive work environment.
- Experience with Work Order and facility inventory applications
- Proficiency with MS Office 365,
- Detail oriented, strong organizational skills and prioritizing tasks
- Excellent verbal, written and interpersonal skill; ability to work with staff, clients and vendors
- Experience collaborating with stakeholders, with competing priorities, in a high stakes’ environment
