Salary Schedule

Under general supervision, the purpose of this position is to perform district-based duties associated with the maintenance and monitoring of personnel records and certification files. Employees in this classification function at a non-routine clerical level capacity, edit and proof reports, and perform various types of electronic data entry and filing. Employees also serve as a liaison between the district and the work site. Duties will include general office support such as answering calls, filing and scanning documents, relaying messages, preparing documents and correspondence and any other related personnel and/or certification support. Performs related work as directed.

Examples Of Essential Functions

Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.

Provides customer service that includes assisting new employees in completing employment paperwork; performs applicant services; reviews non-instructional histories for the purpose of determining driving years of experience to ensure compliance with State statutes 6A-3.0141 Employment of School Bus Operators.

Serves as a liaison between the district and work sites; maintains continuous telephone and/or email contact with applicants and Employment Services; provides personnel and/or benefits information and assistance to district staff, administrators, and other personnel.

Answers inbound switchboard calls; takes messages; provides information and assistance to district personnel and the public; screens, prioritizes, and relays calls to appropriate personnel.

Order and review motor vehicle records for eligibility based on OCPS established hiring criteria.

Maintains database of motor vehicle records for CDL holders and B-11 drivers.

Assists with the preparation of interview packets; copies, scans, prints and files documents as necessary.

Receives, reviews, process and files various documents such as applications, training records, MVR, work history, medical (DOT physical), first report of injury, medical treatment, investigation reports, Workers’ Compensation and long-term leave paperwork, along with other related records.

Creates, updates and monitors spreadsheets for Employee Services to include applicant tracking, MVR exceptions, completion of DOT physicals and other worksite documents while ensuring compliance with personnel policies and the OESPA contract.

Answers questions to non-instructional applicants through the review of applicable documents (paper, SAP, iCIMS) to ensure required documents are received, completed and acceptable.

Utilize iCIMS to process applicants and SAP databases to setup, move and maintain employee position status.

Responds to questions from applicants and employees.

Opens, sorts, and distributes incoming mail; prepares outgoing mail.

Participates in new Transportation employee training and makes presentations employing visuals, as needed.

Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.

Operates a variety of machinery, equipment, and tools associated with department activities, which may include a copier, scanner or fax.

Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

Responsible for timely and accurate information they maintain as part of their job responsibilities.

Minimum Training And Experience

High school diploma or GED; supplemented by minimum three (3) years’ previous experience and/or training that includes bookkeeping or clerical work, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions. Experience with Microsoft Office preferred. Call center/switchboard experience preferred. Human Resources experience preferred.

Data Utilization Requires the ability to calculate, compute, summate, and/or tabulate data and/or information. Includes performing subsequent actions in relation to these computational operations.

Human Interaction Requires the ability to provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards to specific situations.

Equipment, Machinery, Tools, and Materials Utilization Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information.

Mathematical Aptitude Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.

Functional Reasoning Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

Situational Reasoning Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.

ADA COMPLIANCE

Physical Ability Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements Some tasks require visual perception and discrimination. Some tasks require oral communications ability.

Environmental Factors Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
