Job Title: Office Administrator & Accounts Payable Specialist
Job Summary
We are seeking a detail-oriented and organized individual to join our team as an Office Administrator & Accounts Payable Specialist. The successful candidate will be responsible for managing all accounts payable functions and ensuring the smooth day-to-day operation of the office by providing administrative support to all staff.
Key Responsibilities
Account Payable Management:
· Manage the full accounts payable cycle, including receiving, processing verifying,
and reconciling invoices.
· Ensure timely and accurate payments to vendors.
· Maintain accurate and up-to-date vendor records and payment documentation.
· Respond to all vendor inquiries regarding finance and payments.
· Reconcile accounts pay able transactions and assist with month-end-closing procedures as needed. Resolve discrepancies.
General Office Administration:
· Perform general office duties such as filing, scanning and data entry.
· Manage office supplies inventory, anticipate needs, and place orders to ensure adequate stock levels.
· Answer and route incoming phone calls in a professional and courteous manner.
· Serve as the primary point of contact for general office inquiries and facilitate communication between departments.
· Provide light administrative and logistical support to staff as needed (e.g., scheduling meetings, preparing documents, assisting with travel arrangements.
Qualifications & Skills
· Proven experience in an accounts payable role and general office administration.
· Proficiency with accounting software (e.g. QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook)
· Strong attention to detail and accuracy in data entry and financial record-keeping.
· Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
· Strong verbal and written communication skills.
· Ability to work independently and collaboratively in a fast-paced environment.
· A professional and friendly demeanor, with a commitment to providing excellent internal customer service.
Desired Qualifications & Software Proficiency (Huge Plus)
· Prior experience using Sage Construction 300 (formerly Timberline) and/or TimberScan software is highly advantageous.
· Familiarity with processing conditional and unconditional lien waivers, especially with a construction environment.
Education
· High school diploma or equivalent required.
Physical Requirements
· Sedentary work. Lifting up to 10-15 lbs., occasionally. This role requires close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing; viewing a computer screen, extensive reading
