Position Overview
The Intake Specialist/Office Coordinator is responsible for managing incoming referrals and ensuring that prospective clients successfully complete the intake process. This role plays a critical part in ensuring clients are contacted promptly, documentation is completed accurately, and services can begin as efficiently as possible.
The ideal candidate is organized, detail-oriented, responsive, and comfortable communicating with clients in a professional and supportive manner.
Key ResponsibilitiesReferral & Intake Management
- Answer incoming office calls and respond to client inquiries
- Manage incoming referrals from various sources including:
- Phone calls
- Zencare
- Psychology Today
- Referral inbox
- Contact new referrals within 24 hours
- Add new clients into the electronic health record system
- Send intake and consent documentation to clients
- Follow up with clients who have pending consent forms
- Maintain referral and pending consent tracking spreadsheets
Insurance Verification
- Verify insurance eligibility and benefits
- Confirm co-pays and deductible requirements
- Request updated insurance information when needed
- Communicate self-pay options when applicable
Client Communication
- Provide clear and professional communication with prospective clients
- Assist clients with questions related to the intake process
- Follow up with clients multiple times when necessary to complete intake documentation
Administrative Support
- Answer office phone calls
- Assist with general office operations
- Greet clients when they arrive
- Support internal workflow and administrative needs
