JOB SUMMARY

The Administrative Assistant provides administrative support to the Program Director and other employees as assigned by managing a variety of organizational tasks. Ensures administrative tasks are efficiently and effectively implemented. Must have strong interpersonal skills and the ability to prioritize a diverse workload.

EDUCATION & WORK EXPERIENCE

• A high school diploma or equivalent is required.
• One year of administrative experience preferred
• Must have the ability to analyze and use data
• Experience in serving a wide range of socio-economic backgrounds preferred
• Excellent written and verbal communication skills

DUTIES AND RESPONSIBILITIES

• Understands, believes in, and adopts Optimae LifeServices’ Mission, Vision, and Core Values
• Greets the public in person and on the phone in a polite and professional manner, providing general information, answering questions, and directing people to appropriate staff
• Processes and distributes confidential and sensitive information
• Maintains privacy in all aspects of the job
• Operates a variety of office equipment including, but not limited to personal computers, copy/fax, and calculators
• Performs job in compliance with agency policies and procedures as well as community and professional standards
• Answers phone as required, receives messages, and returns messages as appropriate
• Handle and sort mail
• Order and replenish supplies as needed
• Organizes files and prepares documents
• Coordinates meetings and conferences
• Maintain OSHA logs.
• Other duties as assigned.
