Position Summary
The Executive Assistant / Project Manager serves as a trusted partner to the CEO by providing high-level administrative support, managing strategic projects, and ensuring organizational priorities move forward efficiently. This role requires exceptional organization, discretion, initiative, and the ability to balance multiple priorities in a fast-paced environment.
The ideal candidate is proactive, resourceful, detail-oriented, and capable of anticipating needs before they arise. They serve as a key point of coordination across departments, helping the CEO stay focused on strategic initiatives while ensuring day-to-day operations run smoothly.
Executive Support and Administrative Management
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Prioritize incoming communications, correspondence, and requests.
- Prepare agendas, presentations, reports, and briefing materials.
- Attend meetings as requested, record notes, and track action items.
- Screen and prioritize requests requiring the CEO's attention.
- Handle confidential and sensitive information with the highest level of professionalism and discretion.
- Maintain organized electronic and physical filing systems.
- Coordinate travel logistics, itineraries, accommodations, and meeting schedules.
- Manage contracts, vendor communications, and administrative projects as assigned.
- Support office operations and executive priorities as business needs evolve.
- Project Management and Business Operations
- Coordinate cross-functional projects from planning through completion.
- Develop project timelines, milestones, and deliverables.
- Monitor project progress and proactively identify risks or obstacles.
- Follow up with department leaders to ensure action items are completed on schedule.
- Maintain project documentation and provide regular status updates.
- Assist with operational planning and strategic initiatives.
- Research information, prepare analyses, and summarize findings for executive decision-making.
- Draft professional correspondence, reports, and internal communications.
- Organize company meetings, executive retreats, and special events as needed.
Qualifications, Education and Experience
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Equivalent combination of education and relevant experience may be considered.
- 5 years of executive administrative support, project management, or similar experience.
- Experience supporting senior executives or C-level leadership preferred.
- Experience coordinating multiple projects simultaneously.
