About the Role
Optiline Enterprises is hiring a Subcontractor Compliance Assistant to join our Subcontractor Compliance Department. This role keeps our subcontractor compliance pipeline moving - processing lien waivers, managing work orders, handling certified payroll documentation, and collecting the compliance documents that keep our jobs audit-ready and our subcontractors working without interruption.
This is a great fit for someone who's comfortable with numbers and detail, thinks critically through problems rather than just following steps, and takes ownership of a checklist without needing to be reminded. You'll be working across multiple active construction projects, coordinating directly with subcontractors and internal project teams, in a role where accuracy and follow-through are the job.
No construction compliance background? That's fine - we'll train you on the systems and the regulatory pieces. What we can't train is sound judgment with numbers and the discipline to follow through on open items. If that's you, we want to talk to you.
What You'll Do
- Set up subcontractor document collection folders and checklists, and follow up directly with subcontractors to collect outstanding documents
- Support certified payroll intake and processing (e.g., WH-347 and state-specific forms), reviewing payroll figures and flagging discrepancies
- Maintain accurate, current compliance records across our tracking systems
- Proactively follow up on expiring or missing documentation - before deadlines, not after

Provide regular written status updates on your assigned compliance items
What We're Looking For
- Comfortable working with numbers - reviewing figures, spotting discrepancies, and catching errors before they become problems
- Strong critical thinking and problem-solving skills; able to work through an issue rather than just following a script
- Attention to detail and comfort working from checklists and structured processes
- Ability to manage multiple subcontractors and projects at once without things slipping

Clear, professional written and verbal communication you'll be emailing and calling subcontractors directly

Comfortable learning and working across different software systems
- 1–3 years of administrative, compliance, or construction-support experience preferred, but not required for the right candidate
Nice to Have (Not Required)
- Bilingual in Spanish

Familiarity with construction subcontractor compliance: Section 3, certified payroll, or Davis-Bacon requirements
- Prior experience in construction, real estate, or a regulated industry
