Objective
The Project Coordinator (PC) supports the Project Manager and Superintendent in managing the administrative, documentation, and coordination aspects of construction projects. This position ensures timely communication, accurate documentation, and efficient project execution across all project phases — from start-up through closeout.
Key Responsibilities
- Assist the Project Manager during the Project Coordination Meeting; review drawings, specifications, and scope of work prior to meetings.
- Create and manage project files and folders in SharePoint and Procore.
- Create meetings in Procore, upload meeting minutes for PM approval, distribute minutes, and issue follow-up tasks.
- Support the PM with subcontractor commitments, ensuring insurance certificates, W-9s, and project documents are complete.
- Assist in setting up the project schedule by inputting the submittal schedule and related milestones after buyout.
- Manage and distribute all submittals in Procore; serve as 'Submittal Manager.'
- Ensure all submittals are logged, reviewed, and distributed properly in Procore.
- Assists with RFIs, submittals, and change events.
- Receive, review, and organize project invoices.
- Coordinate with PM and Superintendent for material submittals and delivery tracking.
- Confirm submittal approval, ensure materials are ordered, and track delivery using Procore Material Tracking reports.
- Maintain lead time, delivery dates, and 'required on-site' schedules within the Procore Submittal tool.
- Request final change orders, lien waivers, warranties, as-builts, and O&M manuals from subcontractors and vendors.
- Compile all documents into a complete digital closeout package.
- Participate in the punch list walkthrough and record items in Procore.
Required Skills & Competencies
- Proficient in Procore, SharePoint, and Bluebeam.
- Highly organized with strong attention to detail in documentation and data entry.
- Ability to manage multiple priorities under tight deadlines.
- Strong communication and coordination skills with both internal and external project teams.
- Knowledge of construction document flow (contracts, RFIs, submittals, change orders).
Qualifications
- Associate or Bachelor’s degree in Construction Management, Business, or related field preferred.
- Minimum 2–4 years of experience in a construction support or coordination role.
- Experience using Procore or similar construction management software.
- Familiarity with Microsoft Project scheduling concepts.
- OSHA 10 certification preferred.
