Position Summary:
Medical Receptionists are responsible for maintaining the front office and representing the practice with professionalism. This position requires multi-tasking, prioritizing efficiently, handling patient requests, placing outbound calls to patients, and handling all administrative tasks including patient check-in, check-out, receiving payments, and answering telephones.
Essential Duties & Responsibilities:
- Greet patients, add/verify patient demographics, obtain insurance information and scan all payer insurance cards. Ensure patients have any applicable referrals.
- Review all doctors’ schedules daily to determine availability and strategic placement of triage patients.
- Provide efficient and professional telephone services; answer telephones, make/cancel/reschedule appointments.
- Accurately schedule/re-schedule appointments.
- Accurately take messages or triage to the appropriate staff according to established protocols.
- Document the “notes” section of the patient account regarding any pertinent information.
- Secure all daily money and provider prescription pads in the office safe each evening.
- Place daily work and patient charts in the assigned secure location upon leaving.
- Accurately document daily collection and balance all financials to the appropriate reports.
- Assure the readiness of the reception area for each working day; open/close the office at the designated time and have all front desk activities fully operational at the start of business hours.
- Travel to and between office locations, as needed, for reception coverage and meetings.
- Coordinate necessary activities with Medical Records.
- Maintain forms and office supplies required for front desk activities.
- Maintain a clean and orderly work area.
- Copying, filing and scanning as necessary.
- Perform other clinical and administrative duties as needed/assigned.
Required Minimum Qualifications:
- High school diploma/GED or four years’ experience in ophthalmology or as a Medical Receptionist in lieu of education.
- One year experience in a reception or customer service oriented role.
- Software proficiency, specifically with Microsoft products and Electronic Medical Records (EMR) applications.
- Valid NYS driver’s license and vehicle for required travel to our five locations.
- Ability to effectively and respectfully communicate with patients, providers, clinical staff, colleagues, managers and others.
- Excellent organizational skills with attention to detail.
- Attentive to patient needs/excellent customer service skills.
- Ability to work collaboratively with all team members to ensure quality patient care.
Preferred Qualifications:
- 2 years of medical reception experience.
- Clinical Medical Assistant Certification (CCMA).
Additional Information:
This position requires work to be performed on-site in one or more of our medical office locations. Ability to travel to and between our office locations is required. All applicants must be legally authorized to work in the United States.
Work Environment:
Ophthalmic Consultants of the Capital Region is a busy private practice with 11 physicians and five office locations. This position requires working in a medical office environment. Employees in this position are frequently engaged in repetitive tasks and are not generally exposed to biological hazards or adverse environmental conditions. The noise level is usually moderate.
