Ophthalmic Consultants of the Capital Region provides a comprehensive model of eye care with experienced specialists, ophthalmologists, optometrists, and opticians providing patient-centered eye expertise in Albany, Clifton Park, Schenectady, Schodack, and Troy. Whether a patient is visiting us for a routine visit, to treat a common eye condition or has a more serious eye disorder, we endeavor to provide the highest standard of comprehensive eye care services with excellence and compassion that will consistently exceed expectations. Position Summary:

The Business Office Supervisor is responsible for managing daily administrative and financial operations related to patient billing, coordinating billing and collections, and supervising business office staff.

Essential Duties & Responsibilities:

  • Supervise billing team, Credentialing Specialist and Medical Records Coordinator which includes, but is not limited to, evaluating time off requests, managing timesheets and working in collaboration with human resources to properly execute the coaching and corrective action process and conduct periodic and annual performance evaluations.
  • Coordinate daily and monthly close and reconciliation.
  • Direct and assist with cash receipts postings and deposits.
  • Field questions for insurance follow-up.
  • Work with billing team to help resolve repeat denials and identify procedures to resolve problems.
  • Provide guidance on coding issues (i.e., CPT codes and/or ICD 10 codes) and set up any codes in billing system and EMR.
  • Run and evaluate insurance aging reports.
  • Review all open AR over 90 days and distribute to staff to complete. Track the completion of reports.
  • Complete audits of staff’s work and identify areas for additional training.
  • Ensure adherence to federal and state guidelines, including Medicare, Medicaid, HIPAA, and commercial insurance rules.
  • Set up monthly or quarterly meetings with Insurance Representatives of the major payers to review issues.
  • Develop Policies and Procedures for the Billing Department, as needed.
  • Enhance revenue cycle workflows and recommend process improvements.
  • Assist reception team with any billing or insurance related matters, as needed.
  • Provide support and guidance to patients and physicians, as needed.
  • Performs all responsibilities of a billing team member.
  • Open/close the office as a backup when needed.
  • Perform other duties as needed/assigned.

Required Minimum Qualifications:

  • High school diploma or equivalent.
  • 3-4 years’ experience in healthcare billing, accounting or banking.
  • 1-2 years' supervisory experience in a medical practice or healthcare setting.
  • Proficiency with Microsoft Office particularly with Excel, PowerPoint, and analytics with the ability to learn new platforms as needed;
  • Familiarity with electronic medical records (EMR) systems.
  • Ability to provide counsel and guidance to other team members;
  • Customer service oriented.
  • Professional demeanor and appearance;
  • Must be able to take initiative, present a positive attitude and work well under pressure;
  • Highly organized with strong attention to detail;
  • Exceptional written, verbal communication skills;
  • Ability to build strong cross-functional relationships;
  • Valid driver’s license and vehicle for occasional travel to our clinical locations.

Preferred Qualifications:

  • College degree in related or relevant field.
  • Five or more years’ experience in healthcare billing.
  • Three or more years’ supervisory experience in a medical practice or healthcare setting.
  • Certified Professional Coder (CPC).
  • Experience with Medicare, Medicaid and other government plans.

Work Environment:

Ophthalmic Consultants of the Capital Region is a busy private practice with 10 physicians and five office locations. Employees are frequently engaged in repetitive tasks and are primarily working in a medical office environment interacting regularly with colleagues and physicians. Employees in this role are not substantially exposed to adverse biological hazards or environmental conditions. The noise level is usually moderate.

Additional Information:

This position requires work to be performed on-site. Occasional travel to and between our office locations is required. All applicants must be legally authorized to work in the United States.
