Core ResponsibilitiesExecutive Support
- Serve as gatekeeper and first point of contact for the CEO
- Manage complex calendar scheduling and prioritization
- Handle all travel arrangements and expense reporting
- Prepare and edit correspondence, reports, and presentations
- Attend meetings, take detailed notes, and track action items
Operations Management
- Oversee office operations and vendor relationships
- Maintain organizational systems and standard operating procedures
- Coordinate between departments to ensure smooth information flow
- Manage special projects and company initiatives
- Handle confidential information with absolute discretion
Communication & Relationship Management
- Interface professionally with clients, vendors, and board members
- Draft and send communications on behalf of the CEO
- Manage internal team communications and announcements
- Coordinate company events and meetings
- Google Suite mastery - Sheets and Docs at 9/10 level minimum
- 5 years executive assistant experience supporting C-level executives
- Located within 30 minutes of Waterbury, CT
- Available for occasional early morning/evening communications
- Experience in fast-paced, high-growth environments
- Thick skin and ability to handle direct feedback
- Advanced Google Sheets (pivot tables, formulas, data analysis)
- Google Workspace suite (Docs, Drive, Gmail, Calendar)
- ClickUp project management or similar
- Pipedrive CRM (preferred)
- ChatGPT for content creation
- WhatsApp and modern communication tools
- Fathom and Loom for meeting management
- Financial software experience (QuickBooks or similar)
