- Job Title: Community Ambassador / Receptionist & Meeting Coordinator
- Location: Chicago, IL 60601
- Schedule: Monday – Friday
- Pay Rate: $29–$30 per hour
Event & Meeting Coordination
- Plan and execute internal events, including leadership meetings, team gatherings, and firmwide functions
- Coordinate all meeting logistics, including room setups, catering, and scheduling
- Manage catering services end-to-end, partnering with vendors to ensure quality and timely delivery
- Collaborate with internal teams to align events with company culture and business objectives
- Maintain organized records of event details, setups, and best practices
- Ensure conference rooms and event spaces are fully prepared, functional, and maintained
- Act as a primary point of contact for meeting and event support
- Support training and mentoring of team members to maintain consistent service standards
- Process and submit invoices for event-related expenses, ensuring accuracy and compliance
- Partner with vendors on pricing, contracts, and service agreements
- Track budgets and expenses to support cost-effective event execution
- Contribute to initiatives that enhance the overall workplace and service experience
- Partner with cross-functional teams on projects and service improvements
- Provide coverage for reception and other service areas as needed
- Assist with print, mail, and general office service requests
- Support records management and organizational tasks
- Perform basic conference room technology setup, testing, and troubleshooting; escalate issues when needed
- Experience in event coordination, hospitality, office services, or workplace operations
- Strong organizational and multitasking skills with attention to detail
- Ability to manage vendors, budgets, and multiple priorities effectively
- Comfortable with basic technology troubleshooting and office systems
- Team-oriented mindset with a proactive, service-focused approach
- Strong communication skills and ability to adapt in a fast-paced environment
