The Internet Archive digitizes thousands of books a day and collects a hundred million web pages a week. In its 25 years, it has built one of the largest digital libraries in the world by working with hundreds of national and international libraries, archives, museums, universities, and non-profits.


Job Summary

Reports to the Director of Philanthropy and works as a member for the Philanthropy team. Responsibilities include: supporting all facets of administration associated with the Director of Philanthropy’s role such as donor communications, outreach and meeting preparation;  supporting fundraising events, campaign management, and generating advisory meetings and materials in a concise and timely fashion.


Essential Duties & Responsibilities


  • Administrative SupportSupport the Director of Philanthropy with database management, schedule and coordinate meetings, preparing documents and materials for donor meetings and managing all aspects of a very busy calendar and weekly meetings. 

  • Donor RelationsSupport donor recognition efforts, including the preparation of thank-you letters, acknowledgments, webinars and reports.

  • Event CoordinationHelp organize fundraising events, including logistical planning, guest management, and support.

  • Fundraising CampaignsSupport the planning, implementation, progress and contributions through the Philanthropy team’s GoFundMe platform, and manage patron donor communication through the Zendesk platform.

  • Research and ReportingConduct research on potential grant opportunities, and philanthropic foundation and funding trends, and assist in preparing reports and presentations for internal and external stakeholders.

  • Possesses a flexible approach to work, and is adaptable to a non-traditional and unique work culture.

Organizational Skills

  • Able to keep schedules on track while coordinating outreach efforts.

  • Solid organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.

Computer Knowledge

  • Proficient in Google suite, Slack, and donor databases.

Able to Reason & Think Critically

  • Capable of solving problems with sound judgment and practical approaches.



Education and Experience

  • Required: Bachelor’s degree in nonprofit management, communications, business, or a related field preferred.

  • Required: Four (4) or more years of experience in administrative support or a related role.

  • Required: Experience working in Google suite, Slack, and Zendesk.

  • Preferred: Familiarity with donor management software such as: Salesforce, Raiser’s Edge, Cici CRM, Zendesk, GoFundMe.

  • Preferred: Experience working in a nonprofit environment.

Salary : $70,000 - $83,500
