JOB PURPOSE


The Facilities Assistant is responsible for performing fundamental duties and general tasks within the organization. These responsibilities include ensuring that equipment and facilities are maintained in a safe, clean, and organized manner, reporting any safety concerns or violations, processing mail, handling courier duties, and assisting with central supply operations.




ESSENTIAL FUNCTIONS INCLUDE, BUT NOT LIMITED TO:

Facilities 



  • Provides support in the transportation and installation of materials, equipment, and furniture as required at health center locations.

  • Prepare and organize all meeting rooms before scheduled events and clean up/reset following the events

  • Monitoring and maintaining cleanliness of all health center locations including restrooms.


Maintenance



  • Completing minor repair work, such as replacing light bulbs, ceiling tiles, and painting.

  • Performing basic plumbing tasks, which include unclogging drains.

  • Troubleshoot if breakers have been tripped within experiencing isolated power outages.


Reporting and Program/Staff Development 



  • Issue inventory and maintain records for each department and/or location

  • Attend all mandatory meetings and training assigned by supervisor.


Mail Services



  • Collecting mail and packages from designated points within the organization.

  • Sorting and categorizing mail and packages according to department.

  • Delivering mail and packages to the appropriate recipients in a timely manner.

  • Maintaining records of deliveries made and tracking mail and packages as required.

  • Ensuring the confidentiality and security of sensitive documents and packages.

  • Responding to inquiries regarding mail delivery and resolving any issues that arise.

  • Keeping delivery equipment and vehicles in good working condition.

  • Processing outgoing mail with appropriate postage and delivering to post office.

  • Process all incoming mail by opening, scanning, and validating each item in mail software.

  • Picking up mail from post office box at 4500 Government St.

  • Drop off any items to UPS or FED EX as needed.


Courier Services



  • Understands daily clinic rounds using provided schedule and procedures.

  • Transports various items to and from various locations and vendors, ensuring proper care of items handled during transport.

  • Prepares and maintains accurate logs and other data as required.

  • Delivers medical specimens as appropriate to the position, following safety, environmental, and infection control methods.

  • Coordinates the ordering, pickup, and delivery of staff lunches from vendor

  • Ensure products are delivered in a timely manner.

  • May perform clerical duties such as typing, making copies, and distributing mail as required.

  • Handle requests for special services, e.g., STAT, prudently and efficiently


Miscellaneous 



  • Performs miscellaneous job-related duties as assigned.

  • Download and use work-related applications on personal mobile devices to enhance inter-departmental communication, ensuring seamless coordination and efficiency in task execution.




REQUIRED EDUCATION:


High School diploma.




SKILLS, LICENSURE AND KNOWLEDGE REQUIREMENTS:  



  • Valid Louisiana driver’s license

  • Bilingual (Spanish) preferred

  • Ability to pass an auto insurance carrier review required.

  • Moderate physical activity. Requires heavy lifting and handling of average to heavy weight objects (minimum 70lbs) or standing and/or walking for more than four (4) hours per day.

  • While performing the duties of this job, the employee is regularly required to stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach

  • Specific vision abilities required include close vision requirements due to computer work

  • Moderate noise (i.e. business office with computers, phone, and printers, light traffic).

TRAVEL OR SPECIAL REQUIREMENTS


Driving during the workday as well as local or out of state travel may be required to perform job duties.
