Open Door Health Services is seeking a full-time Case Coordinator at our main location in Muncie, Indiana.
Overview
As a Case Coordinator you will uphold our Mission, Vision, and Values. In this position, you will be responsible for supporting safe, efficient delivery of Psychiatric services including Spravato (esketamine) therapy by managing prior authorizations, scheduling treatment visits, coordinating referrals, and handling administrative and clinical communications across the care team. You will also track all referrals and prior authorizations to completion and work closely with all staff members to ensure that the patients have timely access to treatment while maintaining regulatory, payer, and facility compliance. This position will work as a Medical Assistant approximately 25% of the day supporting a variety of clinical tasks.

Roles & Responsibilities
In this role, you will:
- Follows up with the patient and completes the appropriate paperwork/data entry.
- Assist patients with financial counseling, manufacturer copay assistance programs, and community resources, as needed.
- Coordinate appointments for psychiatry, behavioral health counseling, lab testing, and other, as needed.
- Clearly communicate arrival times, transportation, duration, pre-treatment requirements, and post treatment safety precautions as directed by the provider.
- Prepare, submit, and follow-up on insurance Prior Authorization and medication benefits needed for approval for referrals at the request of a clinic provider. Track authorization timelines and appeals; communicate denials and next steps to clinicians and patients.
- Knowledge of medical practice and care to assist patients care.
- Prepares patient for the provider by obtaining vital signs, chief complaint, as well as other data and briefs provider prior to entering the exam room.
- Administers prescribed medications, immunizations and treatments as ordered.

- Be able to react calmly in emergency situations
- Be able to read, understand, and follow detailed written and oral communication
- Be able to learn to use and update electronic health records and other online systems
- High School diploma or GED equivalence.
- Associate’s degree or medical/administrative certification preferred.
- Experience with EHRs, payer portals, and authorization software preferred.
- CMA, RMA or CCMA Certification is preferred at hired, required to be maintained through ODHS post hire.
- No clinical experience necessary if certified. Must have at least 1 year work experience in health care in clinic/office if not certified.
