What are the responsibilities and job description for the Client Care Specialist position at Ooltewah Veterinary Hospital?
KEY PERFORMANCE RESPONSIBILITIES SPECIFIC TO THIS POSITION:
Client Services
- Communicates with clients with a great attitude and smile at all times with a professional, warm, friendly, and helpful demeanor providing prompt, professional, friendly service to all clients.
- Prepares medical records for new patients before appointments including obtaining prior medical records, reviewing vaccine history and inserting dates and scanned files into practice software for reminders, and alerting doctors and clinical staff of extensive medical history.
- Talks to clients about recommendations regarding vaccines, health plan, boarding policies, flea and heartworm, pre-anesthetic recommendations.
- Assists clients in filling out registration and other necessary forms.
- Schedules appointments using scheduling protocols.
- Explains charges to ensure clients perceive the value of service provided.
- Acts as a liaison between doctor, clinical staff and client to ensure all client questions, issues and concerns are answered and understood.
- Assist in identifying and capturing regular photo and video opportunities of our patients to use on social media, in clinic and on our website.
Accounting/Cash Handling
- Collects payments from all clients at the time of service.
- Processes cash, check, credit cards, and Care Credit payments in practice management system.
- Reconciles cash drawer (prints reports, prepares deposit, closes out credit card terminals and cash at midday shift change and in the evening at the close of the day.
- Prepares deposit daily.
- Processes returns – credits the clients account in practice management software or on the client’s credit card.
Telephone & Communication Skills
- Answers incoming calls, texts and emails and converses in a clear, friendly, professional, and helpful manner. Emails and texts should have appropriate grammar and spelling.
- Performs reminder phone calls/texts to clients for appointments, surgeries or other procedures within expected time frames.
- Checks voicemail messages, emails and texts regularly and respond as needed.
- Answers phone shopper calls with the intention of converting such calls into appointments.
- Changes phone answering prompts for holidays and other closings.
Clerical
- Creates and mails new client cards, euthanasia sympathies and any other outgoing mail.
- Faxes records to and obtains records from other veterinary practices before scheduled appointment times.
- Creates new medical records, updates medical records, prints drop off, boarding and surgical forms.
- Records and delivers messages to the doctors from clients, and from other doctors.
- Maintains copy/fax machine.
- Keeps front office supplies and forms stocked at appropriate and cost-effective levels.
- Keeps reception area, lobby, client restroom and exam rooms neat and tidy.
- Waters plants in reception area.
- Locks/unlocks the front door, turns on/off lights when clinic opens and closes.
Computer Skills
- Navigates proficiently in practice management software performing any tasks needed.
- Prints various labels for items and prescriptions.
- Schedules all appointments including rechecks, surgeries and other procedures for established clients/pets, new clients, new pets; reschedules or cancels appointments.
Job Types: Full-time, Part-time
Pay: $14.00 - $18.00 per hour
