Job description:

Job Summary:

The Financial Administrative Assistant is a versatile professional responsible for providing support across various functions within the accounting department. This role ensures seamless operations by assisting with a wide range of tasks, including accounts payable, accounts receivable, reconciliations, and general ledger activities. The ideal candidate is adaptable, detail-oriented, and capable of stepping into multiple roles as needed to maintain department efficiency.

Key Responsibilities:

  • Accounts Payable (AP):
  • Process invoices, ensure proper coding, and match purchase orders to invoices.
  • Assist in preparing and issuing payments.
  • Accounts Receivable (AR):
  • Generate and send customer invoices and follow up on outstanding payments.
  • Reconcile customer accounts and resolve billing discrepancies.
  • Reconciliations:
  • Perform reconciliations for bank accounts, credit cards, and general ledger accounts.
  • Research and resolve discrepancies in a timely manner.
  • Month-End/Year-End Close:
  • Assist in preparing journal entries and maintaining accurate financial records.
  • Provide support for audits and other compliance activities.
  • General Administrative Tasks:
  • Organize and maintain financial records and documentation.
  • Respond to internal and external inquiries regarding financial matters.
  • Special Projects:
  • Support special accounting projects and cross-functional initiatives as assigned.
  • Fill in for team members during absences or high-volume periods.

Qualifications:

  • Education & Experience:
  • 1-3 years of accounting or bookkeeping experience.
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred, but not required
  • Skills & Abilities:
  • Strong understanding of accounting principles and procedures.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Exceptional organizational and multitasking skills with keen attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to quickly adapt to different tasks and work environments
  • Proficiency with Epicor is preferred, but not required.
  • Other Requirements:
  • Demonstrated ability to maintain confidentiality and handle sensitive financial data.
  • Willingness to learn and take on new responsibilities as needed.
