Job Summary:
The Financial Administrative Assistant is a versatile professional responsible for providing support across various functions within the accounting department. This role ensures seamless operations by assisting with a wide range of tasks, including accounts payable, accounts receivable, reconciliations, and general ledger activities. The ideal candidate is adaptable, detail-oriented, and capable of stepping into multiple roles as needed to maintain department efficiency.
Key Responsibilities:
- Accounts Payable (AP):
- Process invoices, ensure proper coding, and match purchase orders to invoices.
- Assist in preparing and issuing payments.
- Accounts Receivable (AR):
- Generate and send customer invoices and follow up on outstanding payments.
- Reconcile customer accounts and resolve billing discrepancies.
- Reconciliations:
- Perform reconciliations for bank accounts, credit cards, and general ledger accounts.
- Research and resolve discrepancies in a timely manner.
- Month-End/Year-End Close:
- Assist in preparing journal entries and maintaining accurate financial records.
- Provide support for audits and other compliance activities.
- General Administrative Tasks:
- Organize and maintain financial records and documentation.
- Respond to internal and external inquiries regarding financial matters.
- Special Projects:
- Support special accounting projects and cross-functional initiatives as assigned.
- Fill in for team members during absences or high-volume periods.
Qualifications:
- Education & Experience:
- 1-3 years of accounting or bookkeeping experience.
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred, but not required
- Skills & Abilities:
- Strong understanding of accounting principles and procedures.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Exceptional organizational and multitasking skills with keen attention to detail.
- Strong communication and interpersonal skills.
- Ability to quickly adapt to different tasks and work environments
- Proficiency with Epicor is preferred, but not required.
- Other Requirements:
- Demonstrated ability to maintain confidentiality and handle sensitive financial data.
- Willingness to learn and take on new responsibilities as needed.
