What are the responsibilities and job description for the Marketing Move In Coordinator position at ONeill Management?
O’Neill Healthcare is looking for a Marketing/Move In Coordinator to join our amazing team! This will be a full-time position that requires travel between the six O’Neill Healthcare facilities (Bay Village, Fairview Park, Lakewood, Middleburg Heights, North Olmsted and North Ridgeville) as well as doctors offices and seniors centers in those cities. This blended role will split time as a move in coordinator and community marketer. Move in coordinator is responsible for all aspects of the resident’s move-in process to ensure the process flows as smoothly as possible while maintaining a positive and professional demeanor toward residents, visitors, families, and co-workers. Community marketers work with local referral sources, such as senior centers, doctors’ offices, attorneys’ offices and real estate offices, to generate assisted living leads for assisted living liaison. Hours split between the positions will depend on skill set of the candidate and availability of the rest of the O’Neill healthcare assisted living marketing team.

Primary Responsibilities include:
- Works with the assisted living liaison to ensure a smooth transition from the sales cycle to move in coordination.
- Welcomes new residents to community, provides orientation of the community, apartment and services.
- Assists incoming residents with all facets of transition and move to the property including providing keys, emergency fobs and general information.
- Conducts lease signing and renewal signing with residents/ families and ensures completeness.
- Collects insurance cards and medical information upon admission and as necessary
- Coordinates and supports nursing with complete documentation for new Assisted Living and Memory Care Residents.
- Work with facility staff to ensure that rooms are always available for move-ins and flipping rooms that have recently be vacated.
- Provides a detailed calendar for all departments as resident and apartment changes are made.
- Makes sure all information has been entered into the respective systems for a smooth transition from the sales and marketing team to the daily operations team
- Assists the sales and marketing department with production reports, correspondence, telephone inquiries, community and facility events, and community outreach
- Connects with doctor offices and senior centers in the community via email, call or in person visit to generate leads for assisted living, nursing homes and hospice
- Attends all required training, in-service, and team meetings
