Oneil Building and Supply is looking for a sharp, personable, and detail-oriented Office Administrator/Sales Associate to join our team. This is a high-impact role where you will be the voice of our company, a key player in our sales process, and the "engine" that keeps our billing and supply chain moving.
The ideal candidate is someone who can pivot from a friendly sales conversation on the phone to the high-precision task of invoicing and order management without missing a beat.
Key Responsibilities
- Customer Relations & Inbound Sales: Act as the first point of contact. You’ll handle inbound calls, qualifying leads and providing a professional, helpful experience for potential clients.
- Invoicing & Billing: Take the lead on the invoicing process. You will generate accurate invoices for customers, track payments, and ensure our accounts receivable stay up to date.
- Material Order Management: Navigate various vendor platforms to place and track material supply orders. You will ensure that every component is ordered correctly and scheduled for delivery.
- Administrative Support: General office management, including filing, data entry, and maintaining organized digital and physical records.
- Sales Assistance: Assist the sales team by preparing quotes and following up with customers to ensure their project needs are being met.
What We’re Looking For
- QuickBooks Proficiency: Familiarity with QuickBooks is a major plus. You should be comfortable navigating the software to create invoices and manage basic bookkeeping tasks.
- The "People" Factor: You are naturally personable and able to build rapport quickly. We need someone who makes our customers feel like they are in good hands from the first "hello."
- Extreme Attention to Detail: In building supplies, accuracy is everything. You must have the "eagle eye" necessary to catch errors in supply orders or billing statements before they become issues.
- Inside Sales Experience: A background in inside sales or retail sales is highly preferred. You should be comfortable helping a customer find the right product and helping close the deal.
- Problem Solver: You don’t just spot a delay in a shipment or a billing discrepancy; you work to find a solution proactively.
Qualifications
- 2 years of experience in an office administrative, billing, or customer-facing role.
- Proven experience with QuickBooks or similar accounting/ERP software.
- High school diploma required; Associate’s degree in Business or Accounting is a plus.
- Previous experience in construction or building materials is a significant advantage.

Pay: $20.00 - $22.00 per hour
