As the Administrative Assistant, the position requires organization, motivation, strong communication, customer service skills, and a positive attitude. The Admin. Assistant is the first point of contact for our clients, advisors, and visitors, and provides general office support with a wide variety of administrative duties and related tasks. The candidate will have the ability to prioritize multiple tasks, handle tasks thoroughly and expeditiously, be proactive and follow through on projects to successful completion, often with deadline pressures.

Your Impact:

  • Open and manage two office suites, arriving by 9:00 AM Monday-Friday and supporting daily frontdesk operations
  • Handle incoming calls, voicemails, and messages with accuracy, efficiency, and professionalism
  • Greet, assist, and direct visitors while maintaining a welcoming office environment
  • Manage incoming and outgoing mail, shipments, and vendor coordination (USPS, FedEx, UPS), including occasional dropoffs/pickups (mileage reimbursed)
  • Maintain inventory and organization of office, kitchen, and conference room supplies across both suites
  • Ensure cleanliness, organization, and presentation of suites, including kitchens, common areas, and seasonal decor
  • Order, set up, and occasionally pick up food for internal meetings and office needs (mileage reimbursed)
  • Partner with the Operations Manager on daily operations, projects, administrative support, and occasional overtime during peak periods (primarily December)

  • Strong interpersonal and communication skills, fostering positive relationships and delivering expertlevel written and verbal communication
  • Proven ability to handle confidential information with discretion while providing a high level of customer service
  • Resourceful selfstarter who excels both independently and as part of a team, consistently achieving performance goals
  • Proficient in Microsoft Office 365 with a forwardthinking mindset focused on continuous improvement and problemsolving

Pay Range:

$21.35 - $26.50 Hourly

The pay range provided above is made in good faith and based on our lowest and highest annual salary or hourly rate paid for the role and takes into account years of experience required, geography, and/or budget for this role.
