Executive and Personal Assistant

One Small Planet (“OSP”) seeks a values-aligned professional to support its Founder and CEO in a dual Executive & Personal Assistant role.


Job Summary: 

We are seeking an Executive & Personal Assistant to support the Founder and CEO of One Small Planet in managing a complex mix of philanthropic, entrepreneurial, and personal priorities. The position reports directly to the Founder and is based in Boulder, CO, with occasional domestic and international travel. 


This is a trusted, high-discretion role for someone highly organized, detail-oriented, and familiar with working in a fast-paced environment. You will be expected to manage a dynamic calendar, coordinate personal and professional travel, prepare for meetings, and act as a gatekeeper to the Founder. The role will also coordinate aspects of the Founder’s personal matters— working with household staff, vendors, and travel hosts to ensure homes, gatherings, and personal projects flow smoothly and align with his values. In this role, you will collaborate closely with the broader One Small Planet team to support shared priorities, while staying focused on the Founder’s direct needs — this is not a managerial or chief-of-staff position. The ideal candidate is discreet, adaptable, operationally strong, spiritually grounded, and aligned with One Small Planet’s mission.


Responsibilities and Duties:

Executive Support

  • Act as a trusted gatekeeper - filtering requests and protecting the Founder’s time and focus.
  • Manage complex, shifting scheduling across time zones; align meetings with priorities.
  • Oversee email management: prioritize, draft, and follow up on key communications.
  • Prepare meeting materials, capture notes, and track follow-up to completion.
  • Maintain a proactive system for reminders, tasks, and accountability to ensure nothing falls through the cracks (currently using Asana).
  • Coordinate domestic and international travel with attention to detail and contingency planning.
  • Draft and edit high-quality correspondence, presentations, and documents aligned with the Founder’s voice and vision.

Personal Support

  • Manage and liaise with household staff, vendors, and service providers to keep daily operations running smoothly.
  • Coordinate personal travel, accommodations, wellness appointments, and scheduling.
  • Maintain alignment between personal and professional calendars and commitments.
  • Assist with special personal projects, gatherings, ceremonies, and retreats.

Relationship & Communication

  • Maintain and update a dynamic contacts database (currently using Affinity).
  • Support high-touch relationship management through thoughtful, timely communication.
  • Represent the Founder with warmth, professionalism, and discretion in all interactions.
  • Draft, refine, and proofread materials and messages with clarity, tone sensitivity, and strategic awareness
  • Uphold strict confidentiality and discretion at all times.


Qualifications and Skills:

  • Proven experience (minimum of three years) supporting a high-level executive, entrepreneur, or changemaker — ideally in impact-focused work.
  • Strong organizational skills with the ability to manage and execute multiple projects simultaneously.
  • Tech-savvy and proficient with tools like Google Workspace, Slack, Notion, Zoom, and task management systems like Asana.
  • Capable of exercising sound judgment under pressure.
  • Highly flexible and comfortable with evolving needs, nonlinear days, and shifting environments — equally at ease in boardrooms and off-grid gatherings.
  • Proactive, resourceful, and skilled at anticipating needs before they arise.
  • Discreet and trustworthy, upholding strict confidentiality in all interactions.
  • Experience coordinating with Indigenous communities or multicultural partners is a plus.
  • Must hold a valid driver’s license, be able to travel domestically and internationally, and pass a background check.


Salary and Benefits:   

$100-140k annual salary (inclusive of bonus) based on experience. Benefits include healthcare (medical and dental), a health savings account, paid vacation, a 401(k), and a professional development stipend.
