CORPORATE PROJECTS COORDINATOR

Department: Finance and Administration


JOB SUMMARY

This Corporate Projects Coordinator will be responsible for ensuring organizational compliance with business requirements for all states in which the organization provides services or has employees. This position will support the Executive Director with project management, take notes during meetings and assign action steps as applicable in Asana. The best candidate for this position will be a self-starter, provides a high level of customer service, attention to detail, and the ability to make sound judgments while working in a fast-paced environment.

The successful applicant will enjoy working behind the scenes on administrative tasks moving projects forward and ensuring business compliance. The ideal applicant is ready to take on new projects and priorities at a moment’s notice. They will demonstrate a high level of initiative on various tasks and propose solutions to potential and real challenges. This role requires excellent collaboration on projects and the motivation to execute various individual tasks daily.


ESSENTIAL DUTIES AND FUNCTIONS

  • Utilize the project management system (Asana) to track, update, and manage assigned Projects
  • Utilize Sharepoint for the review, storage and management of Department files
  • Ensure documentation and administrative requirements are met for identified projects
  • Assist in ensuring the Organization remains compliant with expansion compliance tasks including registration to do business, annual reporting, charitable solicitation registration, etc.
  • Create and manage projects within Asana to update the Organization’s Projects
  • Collaborate with legal counsel as needed for national expansion
  • Participate as part of the Mail Processing team
  • Participate as part of the Front Desk Support team by filling in at the front desk and helping answer overflow calls as needed.
  • Handle confidential, sensitive information with discretion.
  • Support the on going Record Retention projects for the Organization.
  • Support the execution of cross-functional projects tied to organizational priorities.
  • Support the Executive Director as needed
  • Perform such other duties as may be assigned.


SUPERVISORY RESPONSIBILITIES

  • N/A


 REQUIRED EXPERIENCE AND QUALIFICATIONS

  • High school diploma/GED.
  • Minimum of 2 years of relevant experience in administrative work.
  • Minimum age of 21 (drive an agency owned vehicle)
  • Proficient in Microsoft Office 365 products, specifically Word, Excel, Teams, and Outlook and willingness to work in and/or learn efficiency platforms such as SharePoint, Asana, etc.


PREFERRED EXPERIENCE AND QUALIFICATIONS

  • Notary in the state of Florida
  • 3-5 years of experience in a high level support role at a nonprofit organization

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to walk and reach with hands and arms. The employee must be able to operate a forklift. Specific vision abilities required by this job include close vision. 

This job requires the ability to work in stressful conditions from time to time and remain focused for extended periods of time. The ability to lift up to 30 pounds (boxes, documents, and/or equipment) may be required on occasion.
