Job Summary
The Program Coordinator is responsible for coordinating One Heart Project’s program model across Shawnee and Douglas Counties. This includes scheduling and monitoring cohorts/classes, supporting training and matching of mentors, ensuring data collection is completed, and supervising Youth Development Specialists, Curriculum Facilitators, and mentors. While the majority of the position focuses on coordination and leadership responsibilities, the Program Coordinator will also facilitate a limited number of curriculum sessions with youth to maintain program fidelity and meet local program needs. They will assist the State Program Director in achieving program and organizational expectations and goals.
Job Responsibilities
The Program Coordinator will:
· Ensure the One Heart Project (OHP) program model (curriculum delivery, case management, mentoring, and gap skills) is delivered effectively and maintains program fidelity.
· Provide one-on-one pro-social role modeling to youth referred by Shawnee County and/or Douglas County Juvenile Justice Agencies and Juvenile Court Judges.
· Ensure the appropriate youth are selected for the program.
· Set up classes and cohorts, completing required schedules and documentation.
· Monitor classes and one-to-one interactions with youth and families, observing youth development specialists.
· Ensure all personnel are documenting and reporting data on program services and operations as required.
· Assist Mentor Coordinators in the training and matching of mentors.
· Oversee the ongoing mentor-youth relationship in collaboration with the YDS/Curriculum Facilitator and Volunteer Recruiter. Support recruitment, training, assignment, and engagement of mentor volunteers with the assistance of the Volunteer Recruiter. Ensure data collection on mentor engagement is completed.
· Assist youth in identifying and connecting with appropriate community resources, including job training, educational programs, and supportive services.
· Maintain and update case files for all youth served, ensuring timely and accurate documentation of contacts, progress, and outcomes in the case management system.
· Refer appropriate youth to other OHP staff operating cohorts in designated schools or justice agencies, provide follow-up to ensure youth is connected to the designated program, and ensure appropriate transition of the case to other OHP staff.
· Communicate regularly with referral agencies, detention staff, One Heart staff, and other stakeholders to ensure coordinated support for youth.
· Attend meetings, trainings, and community events as required to stay informed and build relationships with key partners.
· Contribute to storytelling and advocacy efforts by providing documentation, pictures, and videos (as appropriate) to highlight program impact.
· Complete special projects and other duties as assigned.
· Facilitate curriculum sessions for rotating groups of youth in designated schools, community sites, or juvenile justice facilities.
· Work closely with families of referred youth to provide guidance, resources, and support.
· Provide day-to-day leadership and supervision for Youth Development Specialists.
· In the absence of personnel, facilitate cohorts/classes and provide case management services.
· Conduct performance reviews with all assigned personnel in collaboration with the State Program Director.
· Manage and meet expectations of funding resources (i.e., grant reporting, data analysis).
· Assist with marketing and communications.
· Support personnel needs through recruiting, hiring, training, performance management, and offboarding.
· Implement organizational strategic plan and supporting processes needed to achieve the plan.

The Youth Advocate should display:
· Understanding of effective interventions for at-risk and justice-involved youth including the processes and procedures of the local education and justice systems.
· Knowledge of case management principles, objectives, standards, and methods.
· Ability to communicate with diverse populations of youth in varied situations.
· Ability to work with community partners to enhance program effectiveness.
· Ability to observe and assess various situations with staff, youth, and customer agencies, problem solving effectively to create collaborative outcomes.
· Leadership skills that maximize the strengths and abilities of staff and volunteers.
· Strong facilitation and teaching skills when working with youth.
· Ability to organize workload and set priorities to carry out assigned tasks in a timely manner.
· Proficiency in Microsoft Office products, data reporting, and data analysis.
· Knowledge of local community resources and service providers.
Education & Work Experience
· BS/BA degree in social work, criminal justice, education, or a related field preferred.
· 2-5 years of experience working with an adolescent population.
· Experience working with at-risk and/or justice-involved youth preferred.
· Experience with case management, mentoring, or direct service programs is a plus.
· Supervisory experience in a community agency, ideally with justice agencies and systems delivering services to youth preferred.
Physical Requirements:
· Must be at least 21 years of age or older.
· Ability to manage a classroom and maintain a safe, engaging environment for youth.
· Ability to type and write effectively, including data entry and documentation.
· Ability to speak and communicate clearly, hear, and have visual acuity adequate to perform job responsibilities.
· Must have a valid driver’s license and current insurance in the state of work.
· Flexibility to travel between Shawnee and Douglas Counties as required.
