About the Role

We are looking for a highly organized and proactive Office Administrator to support our daily business operations. This role is ideal for someone who enjoys working in a fast-paced environment, has excellent attention to detail, and thrives on keeping things organized. You will work closely with the US Operations Officer and collaborate with multiple departments, including Accounting, Warehouse, Customer Service, and Wholesale.

Key Responsibilities

Office Administration

  • Manage daily office operations and administrative tasks.
  • Answer emails and phone calls professionally.
  • Maintain organized digital and physical filing systems.
  • Order office supplies and manage vendor communications.
  • Coordinate meetings, appointments, and company calendars.

Operations Support

  • Assist with daily operational projects and cross-department coordination.
  • Prepare reports, spreadsheets, and presentations.
  • Maintain company documents, SOPs, and operational records.
  • Track action items and follow up with team members.
  • Support process improvement initiatives.

Accounting & Finance Support

  • Assist with invoice processing and document organization.
  • Reconcile receipts and prepare expense records.
  • Coordinate with external accountants and vendors.
  • Maintain payment records and supporting documentation.

HR & Administrative Support

  • Assist with employee onboarding paperwork.
  • Coordinate interviews and schedule meetings.
  • Maintain employee files and HR documentation.
  • Support internal company communications.

General Office Support

  • Handle mail, shipping, and courier arrangements.
  • Assist with special projects as assigned.
  • Provide administrative support to management.

Qualifications

  • 2 years of office administration or administrative assistant experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint).
  • Experience with Google Workspace is a plus.
  • Detail-oriented with strong problem-solving skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Positive attitude and willingness to learn.

Preferred Qualifications

  • Experience in operations, logistics, or wholesale/e-commerce.
  • Basic bookkeeping or accounting knowledge.
  • Bilingual (English/Mandarin or English/Spanish) is a plus.
