Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, directing calls accurately and courteously
- Handle incoming correspondence, including emails, mail, and packages, with attention to detail
- Maintain organized filing systems, data entry records, and office supplies inventory
- Assist with calendar management, appointment scheduling, and basic administrative tasks using Microsoft Office and Google Workspace tools
- Support office management duties such as proofreading documents, managing office equipment, and maintaining cleanliness of the reception area
- Provide customer support by answering inquiries efficiently and escalating issues when necessary
- Perform clerical duties including typing reports, updating databases like QuickBooks or other bookkeeping tools, and managing phone etiquette standards
Experience
- Prior experience in office management or administrative support roles is highly preferred
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience handling multi-line phone systems and providing excellent customer service in a professional setting
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
- Familiarity with clerical tasks such as filing, proofreading, data entry, and calendar management is desirable
- Personal assistant or receptionist experience that includes bookkeeping or QuickBooks knowledge is advantageous
