Position Overview
The Administrative Assistant is responsible for managing a variety of office operations, including scheduling, correspondence, communications, and administrative support. This role supports both internal teams and external customers, ensuring smooth day-to-day operations and high standards of service.
Key Responsibilities
Serve as the first point of contact by answering incoming calls, directing inquiries, and greeting scheduled visitors.
Coordinate meetings and conference calls: schedule appointments, prepare agendas and materials, reserve rooms, and record meeting minutes.
Compose and proofread professional correspondence, presentations, business documents, and mass communications (e.g., emails, faxes, mailings).
Process and distribute incoming mail and coordinate outgoing correspondence.
Support office operations with administrative tasks and special projects as assigned by the Director of Office Administration.
Provide customer support for electric service issues including metering, installations, billing concerns, and outage inquiries.
Dispatch service orders to appropriate personnel and track progress to resolution.
Log customer interactions daily, ensuring accurate documentation of service issues and responses.
Communicate with municipalities, builders, and customers to address electric service guidelines and resolve service-related issues.
Respond to escalations, including emergency and storm-related service interruptions.
Ensure timely and accurate completion of service orders in accordance with regulatory and market requirements.
Qualifications
Minimum Requirements:
High School Diploma or GED (some college or technical training preferred)
3–5 years of experience in an administrative assistant or office support role
Typing speed of at least 50 words per minute
Excellent telephone etiquette and call-handling skills
Experience managing complex schedules and calendars
Proficiency in Microsoft Office (Word, Excel, PowerPoint); Outlook a plus
Strong internet navigation and general tech aptitude
