On Line Design is looking for a detail-oriented and dependable Staff Accountant to support accounting and finance operations. In this role, you would be responsible for the accurate and timely processing of vendor invoices, payments, expense transactions, account reconciliations, and month-end close activities related to Accounts Payable.
The role requires someone with strong accounting fundamentals, excellent organizational skills, and the ability to manage detailed transactions while maintaining accuracy, proper documentation, and internal controls.
Responsibilities:
- Process, review, code, and enter vendor invoices accurately and timely.
- Verify invoices against purchase orders, contracts, approvals, and receiving documentation as applicable.
- Prepare a weekly report for payables due for review & approval.
- Maintain vendor records, including payment terms, tax documentation, and banking information.
- Review employee expensereports and supporting documentation for compliance with company policies.
- Perform monthly vendorstatement reconciliations and investigate discrepancies.
- Research and resolve invoice, payment, and vendor account issues.
- Monitor outstanding invoices and payment due dates to avoid late fees and duplicate payments.
- Assist with month-end and year-end close, including AP accruals, prepaid expenses, and account reconciliations.
- Prepare schedules and supporting documentation for audits.
- Maintain vendor W-9 records and identify exemptions for 1099 filings.
- Maintain complete and organized electronic documentation supporting AP transactions.
- Identify opportunities to improve Accounts Payable processes, controls, and automation.
- Upload and distribute invoices to customersthrough the appropriate systems and ensure invoices are submitted accurately and timely.
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- 2 years of accounting or Accounts Payable experience preferred.
- Working knowledge of Generally Accepted Accounting Principles (GAAP).
- Experience with QuickBooks is a plus.
- Strong Microsoft Excel skills, including formulas, lookups, PivotTables, and data reconciliation.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities and meet established deadlines.
- Strong written and verbal communication skills.
- Ability to handle confidential financial and vendor information appropriately.
