The Role
We are seeking a Client Care Coordinator who is the first and last point of contact for our clients. This is more than a front-desk position—it’s about shaping the client experience from the moment they call to the moment they leave with their beloved pet. You’ll balance hospitality with efficiency, helping pet parents feel reassured while keeping a busy hospital flowing smoothly.
What You’ll Do
- Greet clients with warmth, professionalism, and empathy—every time.
- Triage calls and coordinate appointment flow with veterinary staff.
- Educate pet parents on services, estimates, and discharge instructions.
- Process payments, records, and insurance paperwork accurately.
- Communicate with referring veterinary hospitals.
- Keep the client space welcoming, organized, and calm—even in urgent moments.
- Act as the bridge between medical and client teams, ensuring clarity and compassion in every interaction.

- Experience: Prior veterinary, medical, or hospitality client service experience preferred.
- Communication: Exceptional listening skills, empathy, and ability to explain complex information simply.
- Adaptability: Comfort in a fast-paced, unpredictable environment.
- Tech-Savvy: Comfortable with cloud-based systems (we use EzyVet).
- Team Player: Respectful, collaborative, and ready to support others.
