Requirements
We are searching for a candidate with:
- Bachelor’s degree preferred; or at least 8 years of related experience
- Minimum of 5 years in an administrative assistant, office manager or similar role, preferably with experience supporting C-level executives
- High level of integrity
- Meticulous attention to detail
- Exceptional Customer Service skills
- Excellent time management skills with a proven ability to meet deadlines
- Advanced proficiency in MS office (Outlook, Word, Excel, and PowerPoint) and virtual meeting software preferably Teams or Zoom
- Ability to function well in a fast-paced environment
- Ability to work through ambiguity
Duties and Responsibilities
A typical day may include:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the business operations of the company.
- Organize complex calendars and schedules, resolving any scheduling issues or conflicts.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
- Arrange travel and accommodations for Executive Leadership Team and prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the CEO and Executive Team are involved with.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours as needed.
- Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
- Plan and coordinate executive and corporate events such as board meetings, liaising with vendors board members, internal and external stakeholders.
- Coordinate onsite visits for candidates, suppliers or vendors as necessary.
- Provide administrative support as needed, including office management, data entry, filing, and other ad hoc tasks.
