ROLE:
The lead program support specialist must have knowledge and demonstrated experience in the administrative area. Additionally, the individual must have demonstrated knowledge of Federal Government office policies, processes and procedures, and the ability to quickly grasp newly assigned processes and procedures, to include performing complex administrative, clerical and related duties in support of a specific Government team, event, or individual.
The lead program support specialist must possesses strong written and oral communication skills, able to apply sound business judgment, and has the ability to be resourceful, creative, and a problem solver. The lead program support specialist must have a thorough knowledge of correspondence protocol, to include both utilizing correspondence software tools, and hard copy correspondence packages. The individual must be able to work independently in the absence of specific instructions on a number of tasks with a high degree of speed using organizational skills, and perform these duties with demonstrated ability to maintain effective relations with clients and staff (on-site and remote), exercise confidentiality
KEY RESPONSIBILITIES:
- Manage contractor schedules, priorities, timesheets and leave.
- Coordinate with Government POCs/COR and support day-to-day program operations.
- Provide senior administrative and executive support.
- Coordinate meetings, events, laboratory tours and conferences.
- Prepare correspondence, reports, presentations and briefing materials.
- Support procurement, travel, inventory/property and fleet activities.
- Maintain records, databases and administrative tracking systems.
- Prepare monthly progress reports.
- Mentor/support the Program Support Specialist and ensure continuity of operations.
- Handle confidential information and changing priorities professionally
Requirements
REQUIRED
QUALIFICATIONS:
- 4+ yearsof office administration experience working independently.
- High School Diploma/GED minimum.
- Federal Government office/process experience preferred and ability to understand Federal policies/procedures required.
- Strong written and verbal communication.
- Strong organizational, problem-solving and customer-service skills.
- 35 WPM minimum typing speed.
Strong proficiency with:
- MS Word, Excel, PowerPoint, Outlook
- Google Docs, Sheets, Slides, Calendar, Meet
- SharePoint
- Access / basic SQL
- Adobe Acrobat
- Travel/timekeeping/administrative tracking systems.
