Job Title: Venue and Events Assistant
Department: Operations
Reports To: Director of Operations
FLSA Classification: FT/Non-Exempt, Wednesday - Sunday
The Venue and Events Assistant is a key part of the Operations team, ensuring students, rental customers, and visitors to the building feel welcomed and supported. Responsible for managing all logistics and operations related to OCoM’s recital, performance, lesson, class, and event spaces, this role is an expert in OCoM’s spaces and events, ensuring that venues are prepared, events run smoothly, and performers and audiences have excellent experiences. This role is about 50% focused on events and venue operations, and 50% customer service/front desk operations.
- 30-40 hours per week, Tuesday-Saturday
- 2 closing shifts
- Some schedule flexibility is required, in order to coordinate with event needs
Venue Management
- Coordinate scheduling and usage of recital halls, rehearsal rooms, and other event spaces.
- Be present when necessary to stage manage or support events and rentals.
- Oversee venue setup and breakdown, including seating arrangements, lighting, and sound equipment.
- Oversee, coordinate, and communicate class and lesson setups with artist-faculty and setup staff.
- Ensure venues are clean, safe, and meet OCoM standards before and after events.
- Work with facilities and safety manager to ensure alignment prior to events.
Recital & Event Coordination
- Collaborate with stakeholders to execute logistics for student recitals, faculty concerts, and special events.
- Stage manage recitals and events.
- Serve as the primary point of contact for performers, families, faculty, and technical staff.
- Coordinate event timelines, rehearsal schedules, and backstage support.
- Assist with ticketing, signage, programs, and audience communications.
Front Desk
- Serve as the first point of contact for students, families, and visitors.
- Provide excellent customer service and address questions or concerns.
- Support daily Hub operations and communication.
- Executes the set up of spaces for recitals, classes, and any other events occurring in the building during designated Hub shift.
- Understand and provide basic Opus1 support to students, caregivers, and artist-faculty.
- Assist with general admissions and enrollment processes.
Administrative Support
- Maintain accurate records of venue bookings, event details, and equipment inventory.
- Prepare reports on venue utilization and event attendance.
- Collaborate with programming, marketing, and development teams to support event promotion.
- Support budget tracking related to venue expenses and event costs.
General Program Support
- Assist with scheduling and coordination of classes, lessons, and group programs.
- Maintain accurate program records, attendance, and enrollment data.
- Support communication efforts including email notifications, reminders, and updates.
- Assist with preparation and distribution of program materials and resources.
- Help troubleshoot minor issues and escalate as needed to leadership.
- Collaborate with administrative and program teams to streamline processes and enhance participant experience.
- 2 years experience in event coordination, venue management, or performing arts production.
- Strong organizational and multitasking skills with excellent attention to detail.
- Ability to communicate clearly and professionally with diverse stakeholders.
- Familiarity with audio-visual equipment and basic technical troubleshooting preferred.
- Comfortable working evenings and weekends as required by event schedules.
- Passion for music, education, and community engagement.
- Comfortable making decisions in the moment and problem-solving during events.
- Excited to work with people.
- Able to work independently on assigned projects.
Physical Demands
This role requires the ability to sit, stand, walk, and use hands regularly. Occasional lifting of up to 25 pounds may be needed. Clear communication and normal vision capabilities are essential. Reasonable accommodations will be provided as needed.
Work Environment
- While performing the typical duties of this job, the employee is not exposed to weather conditions. Occasionally, the employee may be asked to perform work outdoors.
