Responsibilities

• Develop comprehensive tournament plans, including scheduling, venue setup, and participant registration processes.
• Coordinate with vendors, sponsors, and venue staff to ensure all logistical needs are met efficiently.
• Manage event budgets by overseeing expenses, negotiating contracts, and maximizing resources through upselling opportunities.
• Utilize event management software and CRM systems to track registrations, communicate with participants, and analyze event data for continuous improvement.
• Lead marketing efforts by promoting tournaments through social media, email campaigns, and local outreach to boost attendance and engagement.
• Oversee onsite event operations, including registration check-in, guest services, technical setups, and hospitality arrangements.
• Supervise team members and volunteers to ensure smooth execution of all event activities while maintaining high standards of customer service.
• Handle client communication with professionalism, addressing inquiries promptly and providing exceptional support throughout the planning process.

Experience

• Proven experience in event planning or management within the hospitality or entertainment industry.
• Strong negotiation skills with a track record of successful upselling and vendor management.
• Familiarity with event marketing strategies to attract diverse audiences effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) as well as specialized event management software tools.
• Experience managing event budgets from initial planning through post-event reconciliation.
• Excellent organizational skills with the ability to juggle multiple projects simultaneously under tight deadlines.
• Demonstrated leadership capabilities in managing teams or volunteers during large-scale events.
• Knowledge of CRM systems for participant engagement and data tracking is highly desirable.
• Exceptional communication skills to liaise confidently with clients, vendors, sponsors, and team members.
• Background in hospitality or banquet services is a plus, along with experience in fundraising or guest services for large events.
