Position Overview:
The Dental Practice Manager at Baker Victory Healthcare Center oversees the daily operations of the dental clinic, ensuring compliance with NYS DOH Article 28 regulations. This role is responsible for leading a team of Patient Service Representatives (PSRs), Hygienists and Dental Assistants, managing the clinic’s scheduling, insurance verification processes, and handling patient relations. The manager ensures smooth coordination between clinical staff, including Dental Assistants, Hygienists, and Dentists, while maintaining a strong emphasis on patient satisfaction, regulatory compliance, and financial operations. Sets goals and targets for productivity. Establishes and monitors progress towards KPI’s and productivity standards. A critical part of the role involves evaluating insurance coverage, managing claims processing, and ensuring all aspects of patient care are accurately documented within the Electronic Health Record (EHR) system. Ensures contracts are up to date and negotiates rates.
Vendor supply management, monitor usage of supplies and set inventory and stock levels.
Monitors budget and spending. Authorizes expenses and purchases .

Key Responsibilities:
  • Supervise and support Patient Service Representatives (PSRs), Hygienists and Dental Assistants in their daily tasks, including appointment scheduling, patient check-ins/check-outs, and payment collection.
  • Oversee and ensure efficient workflows across the front desk and clinical operations, fostering seamless coordination with Front Desk staff, Dental Assistants, Hygienists, and Dentists.
  • Resolve patient complaints or concerns in a professional, empathetic manner to achieve mutually satisfactory outcomes.
  • Monitor and ensure compliance with Article 28 regulations, including documentation and operational standards.
  • Lead the insurance verification process, ensuring all patients' insurance coverage is accurately verified and documented prior to appointments.
  • Ensure prior authorizations are completed in a timely fashion
  • Works with insurance payers to ensure contracts are up to date and negotiates reimbursement rates.
  • Evaluate and communicate details of patients’ insurance benefits to staff and patients, explaining coverage options, limitations, and out-of-pocket expenses.
  • Run weekly reports to ensure all visits are closed out and moved to a billable encounter.
  • Collaborates with Finance to ensure patient charts are updated appropriately, if claims are denied/rejected.
  • Implement and maintain systems for insurance verification, claims follow-up, and billing support.
  • Manage and communicate key performance indicators within the clinical operations team. Monitors progress towards them and holds staff accountable to them.
  • Prepares reports and dashboards to present metrics in real time to show how the practice is performing. Uses this information to update KPIs as needed to address poor performance.
  • Train and mentor administrative staff to deliver excellent customer service and ensure accurate insurance processing.
  • Maintain an organized and welcoming front office environment that reflects the mission and values of Baker Victory.
  • Collaborate with other departments and leadership to support clinic goals, performance metrics, and quality improvement initiatives.
  • Utilize and oversee Electronic Health Record (EHR) systems to manage patient data and ensure accurate documentation.
  • Prepares and presents quarterly reports for the ELT members and the Board of Directors.
Qualifications:
  • 6 years of experience in dental office management, preferably in an Article 28-regulated setting.
  • Strong knowledge of dental insurance verification, including a thorough understanding of insurance plans, what is covered, and the patient’s financial responsibility.
  • Proven leadership skills with experience supervising front desk or administrative staff.
  • EHR system proficiency is required; experience with NextGen is a plus.
  • Excellent communication, interpersonal, and conflict-resolution skills.
  • Detail-oriented with the ability to manage multiple tasks efficiently and prioritize appropriately.
  • Demonstrated commitment to teamwork and collaborative problem-solving.
  • Proficiency in Microsoft Office Suite and dental practice management software.
Preferred Qualifications:
  • Associate's degree required, Bachelor’s degree preferred in healthcare administration, business, or related field.
  • Experience with NY Medicaid and managed care dental plans.
  • Familiarity with NYS Department of Health regulations and compliance standards under Article 28.
  • NextGen EHR experience is preferred, but familiarity with other EHR systems is also acceptable.
