We are seeking a professional, highly organized, and bilingual Receptionist who is fluent in both English and Spanish to join our team. The ideal candidate will be responsible for managing the front desk, assisting with office tasks, communicating with clients, and providing excellent customer service. The successful candidate must be meticulous, have exceptional attention to detail, and be able to exercise sound judgment when handling client communications, particularly calls involving urgent or time-sensitive legal matters.
Schedule:
- Monday through Thursday
- 32 hours per week
Responsibilities:
- Greet and welcome guests, clients, and visitors in a professional and courteous manner.
- Answer, screen, and direct incoming phone calls professionally and efficiently.
- Listen carefully to callers and determine the nature and urgency of their inquiry.
- Recognize calls involving potential legal emergencies, urgent immigration matters, court or filing deadlines, detention, removal, or other time-sensitive issues and promptly bring such matters to the attention of the appropriate attorney or staff member.
- Obtain relevant information from callers and ensure that urgent messages are communicated accurately and promptly.
- Handle general client inquiries and provide appropriate information while understanding that the Receptionist does not provide legal advice.
- Communicate professionally with clients in both English and Spanish.
- Manage email correspondence.
- Scan, organize, and provide correspondence and documents to clients.
- Assist with English-Spanish and Spanish-English translations and interpretation as needed.
- Schedule appointments and manage calendars.
- Perform accurate data entry and maintain organized and up-to-date records.
- Assist with filing, copying, scanning, printing, and organizing documents.
- Assist attorneys and staff with general administrative and office tasks.
- Handle confidential and sensitive client information with discretion and professionalism.
- Maintain an organized and professional reception area.
- Perform other duties and responsibilities as assigned.
Qualifications:
- Bachelor’s degree from an accredited college or university.
- Minimum of one (1) year of experience working in a professional office environment.
- Must be fluent in both English and Spanish, with excellent, grammatically correct written and verbal communication skills in both languages.
- Must be meticulous and have exceptional attention to detail.
- Excellent communication, listening, and interpersonal skills.
- Ability to exercise sound judgment when handling telephone calls, particularly calls involving urgent or sensitive legal matters.
- Professional, courteous, and compassionate demeanor when interacting with clients.
- Proficiency in Microsoft Outlook, including email and calendar management.
- Strong organizational skills and the ability to multitask and prioritize effectively.
- Ability to work accurately and efficiently in a fast-paced professional environment.
- Ability to handle confidential and sensitive information appropriately.
- Professional, dependable, punctual, and proactive.
- Previous experience in a law firm or legal environment is preferred.
- Experience in immigration law is a plus, but not required.
