ROLE OVERVIEW
The Booking Manager supports the Senior Booking Manager with the day-to-day coordination required to keep every event staffed on time. This role is the primary point of contact for staff availability, confirmation follow-up, and agency communication — ensuring that nothing falls through the cracks between assignment and event day.
KEY RESPONSIBILITIES
- Schedule and assign all FOH and BOH freelance staff for every event on the calendar
- Maintain a deep working knowledge of the preferred staff roster, understanding each person's experience, strengths, and event history within the company
- Contact staff to check and confirm availability for upcoming events, maintaining up-to-date availability records
- Build staffing plans for each event based on event type, scale, client requirements, and culinary needs
- Communicate confirmed assignments clearly to staff, ensuring they have all relevant event details in advance
- Follow up on unconfirmed assignments, escalating to the Senior Booking Manager when positions remain unfilled within agreed timelines
- Serve as the primary liaison with staffing agencies for day-to-day requests, availability checks, and submission of new candidates
- Maintain and update the staff database — contact details, event history, training status, agency affiliation, and performance notes
- Process new staff intake from agencies, logging profiles and flagging them for training assessment by the Staffing & Training Support Manager
- Prepare confirmation communications and event briefs for staff, ensuring they receive accurate call times, locations, dress codes, and role details
- Track cancellations, last-minute drops, and replacements, keeping the Senior Booking Manager informed in real time
- Support the Senior Booking Manager with administrative tasks related to the event calendar and staffing plans
- Flag any recurring availability, reliability, or performance issues to the Director of Staffing
EXPERIENCE & QUALIFICATIONS
- Strong administrative and communication skills — comfortable managing high volumes of outreach across phone, email, and messaging
- Highly detail-oriented and reliable with follow-through and meeting deadlines
- Experience in a coordination, scheduling, or administrative role; hospitality background a plus
- Comfortable working in a fast-paced environment with shifting priorities and urgent timelines
Pay: From $70,000.00 per year
