What are the responsibilities and job description for the Program Coordinator - Olive View Trauma Recovery Center position at OLIVE VIEW-UCLA EDUCATION AND RES INSTITUTE?
The Olive View Trauma Recovery Center (TRC) is designed to help victims of violent crime overcome barriers to accessing mental health treatment, health care, and legal resources in the acute aftermath of trauma. The TRC serves recent victims of violent crime, including survivors of physical assault, sexual assault, gun shot wounds, stabbings, domestic violence and human trafficking in the San Fernando and Antelope Valleys.
The Olive View Trauma Recovery Center Program Coordinator will provide administrative support and program coordination for administrators, staff (psychologist, social workers, psychiatrist, medical case worker) and clients of the Trauma Recovery Center.
Duties include:
- Schedule appointments for clients through the hospital’s Electronic Health Record (Cerner).
- Coordinate, schedule, and attend administrative meetings, trainings/presentations, outreach events, conferences, personnel interviews, among others.
- Perform clerical tasks, such as answering phones and maintaining client files and databases.
- Communicate with accountants to send monthly invoices and budget items to grantor.
- Compile monthly and annual data reports, as per state requirements using Microsoft Excel.
- Process travel, office supply, and other expense reimbursements.
- Maintain inventory of office and outreach/informational supplies.
- Assist with quality assurance/performance improvement reports.
- Assist with maintenance of policies and procedures manual and workflow/job aid diagrams
- Assist with the finding, writing, final submission, and subsequent communication of grant opportunities.
- Assist with the onboarding of new personnel, following LA County and hospital guidelines, including the credentialing process for licensed personnel.
- Assist with the running and advancement of the organization’s social media.
- Update staff on organizational changes to administrative procedures and ensure accurate compliance and implementation.
- Perform other duties as assigned by the Administrative and Clinical Directors.
Qualifications:
- Excellent calendar management and scheduling skills using Microsoft Outlook and Teams.
- Working knowledge of Microsoft Office, with strong proficiency in Excel.
- Skilled in communicating with providers and clients in an empathetic and trauma-informed manner.
- Superb organizational and time management skills.
- Detail-oriented and independent worker.
- Excellent customer service skills, including phone etiquette.
- Resourceful with ability to resolve and troubleshoot problems independently.
- Ability to adapt to new or evolving tasks and responsibilities as program needs change.
- Strong team orientation and willingness to support colleagues.
- Bachelor’s degree REQUIRED.
- Bilingual Spanish/English REQUIRED.
