Key Responsibilities
The Operations Coordinator supports Olive Events’ catering operations to ensure seamless, high-quality experiences for every client.
Event Leadership & Coordination
- Accountable for leading and directing the service team to execute events.
- Contribute to all aspects of catering events are completed, including scheduling, staffing, setup, execution, and breakdown.
- Act as the primary point of contact for clients when the Lead Event Coordinator is not on-site.
- Provide clear direction, delegate tasks, and ensure all staff understand their roles and responsibilities while on site.
- Addressing any issues or challenges that arise during events, finding solutions quickly and efficiently to minimize disruptions.
Logistics & Operations
- Catering Captain Shifts: Work scheduled event shifts that include preparing catering supplies, loading and securing items into the van, transporting to the event location, unloading and setting up, and assisting with event execution as needed. Responsible for maintaining organization, timeliness, and ensuring all equipment and supplies are accounted for before and after each event.
- Accountable for operating the company vehicle safely and efficiently.
- Accountable for pulling all required equipment, linen, food, and additional items necessary to execute the contracted event.
- Accountable for ensuring all time standards and expectations are met for load out, arrival, and service of contracted events.
- Generate event pack lists and oversee accurate packing of all events.
- Maintain company vehicles including but not limited to scheduled maintenance, registration, insurance, cleanliness, fueling, and readiness.
- Maintain BOH cleanliness and organization to ensure readiness for upcoming events.
- Training of new staff including servers, bartenders, and support staff.
- Assist with staffing events via NOWSTA for all scheduled events 2-3 months in advance.
Client & Vendor Relations
- Accountable for fostering and maintaining positive relationships with event spaces, venues and other vendors.
- Manage, place & pick up orders with local companies or pickups as needed. Ensuring timely delivery of goods and services.
- Collaborate with sales and marketing to promote services, generate leads, and secure new business.
Quality, Safety & Compliance
- Maintaining high standards of food quality, presentation, and service to meet or exceed client expectations.
- Ensure compliance with food safety, sanitation, and health department standards.
- Monitor beverage (NA liquor) and supply inventory monthly, coordinating timely orders.
Administration & Communication
- Conduct post-event evaluations with the operations team to gather feedback and assess areas of improvement.
- Collaborate with sales, marketing, and culinary teams to ensure smooth operations and alignment of objectives.
- Identify and implement strategies for continuous improvement in efficiency, service, and client satisfaction.
- General Computer Skills (Excel, Canva, Total Party Planner, etc.)
General Duties
- Accountable for completing daily tasks such as assigned side work, facility cleanliness, organization, and event clean-up.
- Additional responsibilities may be assigned as needed.
