Operations Specialist

Hours: Full Time in office, with possibility of WFH 1-2 days a week later on

Responsibilities:

Customer Service & Order Processing:
-Receive, input, make changes and finalize orders from existing and new customers in QuickBooks and other databases like excel.

-Working with freight carriers and brokers to find best rates for freight expenses. Interact with trucking companies to track shipments to ensure prompt delivery.

-Coordinate timely fulfillment of orders with warehouse.

-Answer customer complaints concerning billing or services rendered such as shortages, damages or wrong products or wrong pricing.  Coordinate complaints and provide quick reply after investigation is finalized.

-Maintain proper order, pricing and promotional documentation of all customers.
-Review and adhere to individual customer requirements for pick up or delivery

Operations:

-Review vendor invoices

-Monitor inventory levels and complete monthly inventory reconciliations          
-Identify operational improvements and update Standard Operating Procedures
-Manage and update existing Excel databases
-Assistance in the development of new products by providing a four eye check on: Product artworks, product and case labels and UPC codes,
-Updating various documents and forms, including price lists and product specification sheets.

Skills:
-Well spoken and able to communicate to customers and vendors effectively and in a professional and timely manner
-Proficiency in Microsoft applications (Word and PowerPoint) including advanced Excel skills (Pivot Tables, formulas, etc).
- Expert in multi-tasking
- A strong attention to detail and triple checking work
-Ability to learn and troubleshoot various desktop applications, growing their expertise.
-Demonstrated accuracy and organizational skills.
-Capability to interact appropriately and respectfully with others.
-Ability to adapt to changes in workload and to manage multiple tasks and deadlines simultaneously.
-Self-Leadership skills including dependability, ability to follow instructions, responsiveness to feedback, and direction from management
-Critical thinking and problem solving skills to find optimal solutions in a timely manner.
-Physical requirements:

• • Able to stand, walk, and sit for extended periods of time
  • Able to stoop and kneel
  • Push, pull, lift or carry up to 35 lbs 

Qualifications:

Education:   Preferred Bachelor’s Degree in Business, Marketing, International Relations or related field. Minimum: Associate Degree.

Language Skills: English plus conversational Spanish

Experience: 2-4 years experience in business operations or a similar role with relevant work experience.

Bonus Experience:
Digital Art (Adobe Photoshop) – We currently outsource all digital artwork needs to outside firms; having someone in house to make small changes on product renderings, brochures, and other miscellaneous items would be a great benefit
