Job Description:
Responsible for the administration of health and welfare and retirement employee benefit programs for over 9,200 Old Republic affiliate companies’ employees. Assures compliance with all applicable Federal and state legislation. Responsibilities include explaining benefits and assisting in the benefit renewal processes with vendors and administrators. Provides benefit plan interpretation and guidance to employees and the Old Republic Benefits Advisory Group (ORBAG). Compliance and technical interpretation discussions with consultants, actuaries, and counsel.
*This is a hybrid-office position and requires in-office attendance in Minnetonka, MN*
ESSENTIAL FUNCTIONS:
- Monitors eligibility of plan participants and ensures compliance with both plan provisions and government requirements. Includes required federal, state and/or local filings and reporting.
- Acts as a professional liaison for Old Republic Benefits Advisory Group (ORBAG) members to answer questions regarding health and welfare benefit plans and ADP's Health & Welfare Service Engine (HWSE).
- Provides guidance and counsel to employees and the ORBAG on the requirements and provisions of benefit programs and assist with the resolution of potential problems.
- Coordinates the design and communication of annual enrollment materials.
- Communicates benefit information during the calendar year to employees and SOCs via email, webinars, and mailings.
ESSENTIAL FUNCTIONS CONTINUED:
- Assists with administration of the Pension Plan, including requesting pension calculations from Mercer, providing pension participants with pension election forms, setting up pension payment through Principal’s online retirement plan payment system, and preparing the annual pension valuation data for Mercer.
- Support the benefit program compliance activities including but not limited to non-discrimination testing, compliance filings (Form 5500s, PCORI fees, and ACA reporting) distribution of Summary Plan Descriptions and Summary Annual Reports, and audits.
- Ensure the HRIS benefit module is configured accurately and coordinate the necessary annual enrollment system configuration changes through user acceptance testing.
- Compiles, analyzes, and reports data including employee, benefit plan and financial for benefits’ strategic planning and best practices.
- Exercise discretion in situations where the policy may not specifically address the unique situation and ensure compliance to company guidelines.
- Performs other duties as assigned.
- This position offers a hybrid schedule of a minimum of two (2) days working in the office, but must be flexible to work more than two (2) days in the office when necessary.
- Consistent attendance is required, that may include attendance at after hour Company events.
- Ability to accept supervision.
- Ability to foster, develop and maintain professional and collaborative working relationships.
KNOWLEDGE/SKILLS/EXPERIENCE REQUIRED:
- Demonstrated basic knowledge of ERISA and employee benefit programs.
- Minimum five (5) to seven (7) years’ experience working with health and welfare benefits, and retirement plans is required.
- Two (2) years team lead experience.
KNOWLEDGE/SKILLS/EXPERIENCE REQUIRED CONTINUED:
- Requires strong communication skills, good writing skills, strong customer service and analytical skills.
- Must be able to work independently.
- Project management experience to oversee various projects.
- Ability to establish and maintain cooperative working relationships with external vendors as well as internal customers.
- Ability to interact effectively and professionally with all levels of management, employees and the ORBAG by email, phone and in person.
- Must be personable, positive, and a professional representative of the Company.
- Ability to prioritize and handle multiple projects.
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Office Suite, including Excel, Outlook, and MS Teams. Must have a general working knowledge of HRIS and payroll platforms, such as Workday and ADP's HWSE.
