I. Summary Description
Reporting to the Chief Finance and Reimbursement Officer (CFO), the Accounting Clerk provides Finance support for accounts payable, accounts receivable, data collection, analyzing, and distribution of data to staff, members and OHA partners, and other adhoc projects as assigned to support the needs of the Finance department.
II. Functional Duties
Functional Duties include but are not limited to the following:
A. Accounts Payable (A/P)
1. Serve as the primary point of contact for vendors and employees regarding
invoices, payments, reimbursements, and W-9 requests.
2. Process, code, and post invoices and reimbursements to the appropriate
company, department, and general ledger accounts.
3. Obtain and document required approvals for payments in accordance with
company policies and audit requirements
4. Manage accounts payable transactions in Microsoft Dynamics 365 Business
Central, ensuring accuracy of invoice coding, amounts, and payment processing
5. Execute vendor and reimbursement payments through ACH, check, and other
approved methods.
6. Research and resolve invoice discrepancies and vendor account issues.
B. Accounts Receivable (A/R)
- Process and track accounts receivable transactions in IMIS, including deposits, invoicing, and account adjustments
- Generate member invoices including annual renewals and new member billing
- Coordinate with internal team members on invoice adjustments, reversals, and collection follow-up activities
- Generate monthly General Ledger reports from IMIS after all deposits have been posted in IMIS, for uploading into Business Central.
C. Data Collection and Distribution
- Assist CFO with AHA Survey dissemination
- Update data from the AHA Annual Survey
- Assist CFO with sending DataGen report for member hospitals
- Maintain Hospital Data Report file for OHA
- Create reports using the IMIS database including target groups for communication with Hospital members
- Assist with maintenance of hospital member contacts in IMIS database
D. Accounting
1. Support accounting and finance with ad hoc projects as assigned.
III. Required Skills and Qualifications
This position requires a high school diploma with knowledge of Microsoft Excel, Outlook, Teams and other applications within the Microsoft office suite of products. Other necessary qualities include the ability to communicate with members and other staff in a professional manner and provide good customer service. This position requires detailed, timely and accurate work completion.

- Experience in a professional office setting with A/P and A/R responsibilities
- Experience with Microsoft Dynamics products preferred, in addition to experience in Microsoft Excel, with aptitude for learning other analytics tools.
- Experience in a professional setting handling potentially sensitive information with professionalism and discernment
- Additional experience handling detail-oriented responsibilities within a professional office setting is a plus
- Strong communication skills are required
