About Us
We are a gravel train and aggregate hauling company operating a fleet of 17 trucks. We're looking for a reliable Operations Assistant to support our dispatch, maintenance tracking, and office operations. This role is based in our office and plays a key part in keeping our business running smoothly and efficiently.
Key Responsibilities
- Support dispatch with job tracking and communication with drivers
- Enter delivery tickets and work orders into spreadsheets and maintenance software
- Maintain accurate records for billing, compliance (DOT/FMCSA), and job tracking
- Respond to calls and emails from customers, vendors, and team members professionally
- Review bills for accuracy and enter them into QuickBooks
- Keep digital and physical filing systems organized and up to date
- Ensure customer billing requirements are met and follow up on any discrepancies
Requirements
- 2 years of experience in an office, dispatch, or operations support role
- Proficiency with Google Sheets or Excel (pivot tables, formulas, filtering, etc.)
- Experience with QuickBooks or similar accounting software
- Excellent organization, communication, and multitasking skills
- Familiarity with trucking, logistics, or construction industry is a plus, not required
Qualifications
- Proven experience in an administrative, operations, or office management role.
- Strong organizational and time-management skills, with the ability to handle multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Google Sheets (or Excel), including pivot tables, formulas, and data management.
- Experience with QuickBooks or similar accounting software.
- Familiarity with the trucking, logistics, or construction industry is a plus—but not required.
