Position Overview
OK Sales & Recycling is seeking a highly organized, detail‐driven Bookkeeper/Administrative Coordinator to manage daily financial data entry, support our CPA, maintain office organization, and help provide clear visibility into business performance. This role blends bookkeeping, reporting, secretarial duties, and general administrative support within a fast‐paced metal scrap yard environment.
The ideal candidate is dependable, accurate, comfortable with numbers, and able to keep our office running smoothly.
Key Responsibilities:
Bookkeeping & Financial Management
- Enter daily financial transactions, receipts, invoices, and payments into accounting software.
- Maintain accurate records for purchases, sales, inventory‐related expenses, and vendor accounts.
- Prepare and organize financial documents for the CPA (monthly, quarterly, and year‐end).
- Reconcile bank accounts, credit cards, and vendor statements.
- Process accounts payable: verify bills, schedule payments, and write checks to vendors.
- Assist with accounts receivable tracking and customer payment posting.
- Support payroll processing and maintain employee payroll records.
- Assist in implementing company raises and updating payroll systems accordingly.
Reporting & Business Insight
- Develop and maintain spreadsheets for tracking revenue, expenses, and operational metrics.
- Generate weekly and monthly sales reports, profit & loss summaries, and other financial snapshots.
- Help build and monitor budgets for different areas of the business.
- Provide management with clear, easy‐to‐understand reports showing how the business is performing.
Administrative & Office Support
- Sort, open, and distribute incoming mail; manage outgoing mail.
- Maintain organized filing systems for bills, receipts, contracts, and compliance documents.
- Assist with document preparation, scanning, and digital recordkeeping.
- Support management with scheduling, communication, and general office tasks.
- Maintain confidentiality of financial and personnel information.
Qualifications
- Experience in bookkeeping, accounting, or administrative office work (scrap yard or industrial environment a plus).
- Strong proficiency with spreadsheets (Excel or Google Sheets).
- Familiarity with accounting software (QuickBooks).
- Excellent organizational skills and attention to detail.
- Ability to work independently and prioritize tasks in a busy environment.
- Strong communication skills and professionalism.
Work Environment
- On‐site office located at a metal scrap yard.
- Fast‐paced, hands‐on environment with a mix of office work and interaction with yard operations.
- Must be comfortable working around industrial equipment and materials (office‐only role, but environment is industrial).
