As Executive Assistant, you play a mission-critical role in ensuring seamless day-to-day operations and communication for the executive office. Your work directly supports leadership in maintaining focus, clarity, and momentum by expertly managing scheduling, communication, pipeline hygiene, and operational processes.
Your measured KPIs are the most important indicators of your success, but you are also responsible for broader operational support and proactive engagement across the business.
Key Performance Indicators (KPIs)
1. Zero Inbox (by end of day): All professional inboxes cleared daily (no missed emails due to godaddy quarantined emails)
2. Phone Call Responsiveness: All inbound calls answered within 2 rings; missed calls returned within 15 minutes.
3. Quote Delivery: Quotes sent within 24 hours of request.
4. Flawless Scheduling: No missed appointments; all scheduled with complete information.
5. Clean HubSpot Pipeline and Housecall pro calendar: Updated daily with all client and lead data.
Core Responsibilities
Communication & Scheduling
- Respond to professional correspondence promptly.
- Coordinate and confirm meetings with all required details.
- Manage Housecall Pro calendar input and accuracy.
- Send reminders and confirmations as necessary.
Client Relationship Management
- Answer and return client calls promptly.
- Send quotes, request feedback, and follow up up to three times.
- Invoice customers in hubspot
- Maintain professional and confidential client communication.
Documentation & Process Management
- Maintain the Close Right document.
- Create and update SOPs for recurring tasks.
- Track progress using shared tools.
CRM Ownership
- Manage HubSpot and Housecall Pro CRM daily.
- Ensure data accuracy across both platforms.
- Log client updates, deals, follow-ups, and correspondence.
Social Media Support (As Requested)
- Assist CEO with light social media tasks.
- Examples: Posting pre-approved content, updating links, scheduling posts.
- Maintain brand tone and consistency.
