Position Summary:

The Twin Cities STEM Program Coordinator is a hands-on role responsible for coordinating and executing high-quality STEM programming for youth across the Twin Cities. Reporting to the Associate Director of STEM, this position plays a central role in ensuring smooth, well-organized STEM Saturdays, STEMFests, Mathletes, school-based activities, and special STEM initiatives.

The Coordinator is responsible for student recruitment efforts, maintaining school and community partner relationships, and managing the logistics required to transport large student groups to STEM events. This role works closely with the Volunteer Coordinator, Curriculum Coordinator, and school partners to ensure every event runs efficiently and delivers an exceptional participant experience.

Key Responsibilities

1. Program Coordination & Implementation

  • Coordinate all logistics for STEM Saturdays, STEMFests, Mathletes, school-based activities, and related programming—including scheduling, venue set-up/breakdown, materials prep, and equipment needs.
  • Support curriculum implementation and activity execution in collaboration with the Curriculum Coordinator and Associate Director of STEM.
  • Prepare, organize, and distribute all program materials, kits, and supplies.
  • Work in close partnership with the Volunteer Coordinator to ensure alignment on volunteer staffing and day-of flow.
  • Provide on-site event support, including station leadership, facilitator assistance, student support, and real-time problem-solving.

2. Student Recruitment & School Partnerships

  • Lead student recruitment efforts across the Twin Cities region to ensure strong enrollment for all STEM programs, including Mathletes.
  • Build and maintain positive relationships with schools, principals, teachers, counselors, and youth-serving organizations.
  • Conduct outreach to promote program opportunities through presentations, flyers, school visits, email outreach, and targeted engagement strategies.
  • Coordinate enrollment processes, including interest forms, sign-ups, confirmations, and follow-ups.
  • Serve as the primary point of contact for schools participating in STEM Saturdays, STEMFests, Mathletes, and special events.

3. Transportation & Large-Group Logistics

  • Manage the coordination of buses and transportation logistics for school and community groups attending events.
  • Communicate directly with school partners and bus companies to confirm schedules, headcounts, pick-up/drop-off details, and day-of event expectations.
  • Maintain accurate records related to transportation needs, costs, and group participation.
  • Support safe and efficient on-site arrival and dismissal processes for large student groups.

4. Data Collection, Surveys & Continuous Improvement

  • Collect accurate attendance data, sign-in sheets, demographic information, and participation records for all programs, including Mathletes.
  • Administer surveys and feedback tools for students, families, schools, and facilitators.
  • Maintain databases and trackers to document outcomes, participation trends, and program quality.
  • Provide summary reports and insights to the Associate Director of STEM to inform program improvement and decision-making.

5. Safety & Compliance

  • Ensure all youth safety protocols are followed across STEM Saturdays, STEMFests, Mathletes, and school-based programs.
  • Maintain accurate sign-in/out procedures for students, volunteers, and staff.
  • Support emergency preparedness, including emergency contacts, group rosters, and on-site safety checks.
  • Identify and report any incidents or safety concerns promptly in alignment with OICA procedures.
  • Ensure accessibility needs of students and families are supported at all events.

6. Administrative & Operational Support

  • Track program expenses and materials to support effective budget management.
  • Manage inventory of STEM supplies and coordinate restocking needs.
  • Assist with scheduling, calendar planning, and logistical coordination across program sites and events.
  • Provide general administrative support to ensure seamless delivery of programming.

Qualifications

  • Bachelor’s degree preferred (education, STEM fields, youth development, or related area).
  • 1–2 years of experience in youth programming, community engagement, school partnerships, or program coordination.
  • Strong organizational and logistical planning skills with the ability to manage multiple moving parts simultaneously.
  • Experience working directly with youth and school administrators.
  • Strong communication skills with the ability to engage students, families, educators, and partners.
  • Ability to collect, organize, and report data accurately.
  • Comfort supporting hands-on STEM activities (training provided).
  • Passion for expanding STEM access and empowering underserved communities.

Compensation:

The salary for this position is $65,000 based on a 37.5-hour work week for this exempt position. Salary offered may vary depending on relevant factors as determined by OIC of America, which may include, but are not limited to, background and experience, knowledge, skills and abilities, certifications and licensures internal salary ranges, geographic location and other organizational needs.

·      Ability to communicate information and ideas so others will understand.

·      Ability to learn/translate/refer to technical material and produce extensive written communications.

·      Ability to travel to external meetings both locally and nationally, including periodic overnight travel.

·      Normal work requires frequent use of the telephone and computer (monitor, keyboard, mouse).

·      Ability to be mobile at meetings and events.

·      May be required to move about frequently in the office to access file cabinets, office equipment, attend meetings, etc.

·      May require standing/sitting for prolonged periods of time during meetings and conferences.

·      Must be able to communicate in large gatherings and conduct information sessions with technology so others will understand.
