Ohio Recovery Housing (ORH) is an organization dedicated to the development and operation of quality alcohol- and drug-free living in a community of recovery for people with substance use disorders. An affiliate of the National Alliance for Recovery Residences (NARR), ORH supports our Associates in meeting the quality established by the NARR Standards.
Position Purpose
The Operations Specialist plays a critical role in ensuring the smooth, timely, and effective operation of Ohio Recovery Housing (ORH). This position serves as a central coordination point for reporting, training logistics, systems support, and internal operations, while also providing cross-functional support to quality, outcomes, leadership, and governance functions. The Operations Specialist helps ensure that ORH meets reporting requirements, maintains strong communication with partners, and delivers well-organized trainings and operational processes.
Essential Job Functions & Responsibilities
1. Serve as the primary staff person responsible for ensuring all required reports are completed accurately and submitted on time
2. Coordinates reporting and communications with Ohio’s Expansion Contractor, ensuring timely, clear, and consistent information exchange
3. Ensure complaint related reports are issued in accordance with ORH timelines and procedures
4. Manages reporting calendar for all required contract, grant and other reports and collaborates with staff to gather information needed for report submission
5. Provides administrative support for meetings, including assistance with scheduling, taking notes during meetings, and recording follow-up tasks
6. Ensures satisfaction surveys and data collection for ORH trainings are completed and filed
7. Provides logistical support for ORH trainings including, managing zoom and virtual logistics, supporting trainers in using Zoom platform, preparing and distributing certificates of completion and assisting trainers with invoicing and payments
8. Coordinates space reservations, supply orders, catering and lunch orders, meeting reminders and post-meeting documentation
9. Serve as the first line of support for ORH systems including ORH’s application management software, learning management system, and resident management and related data tools, including triaging basic user issues, responding to common questions, and escalating more complex technical and subject matter issues as appropriate
10. Assisting the quality team with internal record audits and filings
11. Serve as the main point of contact for general inquires about ORH including managing income phone calls and monitoring and responding to messages from the general inbox
12. Support the ORH fundraising committee by scheduling meetings, taking meeting notes, and ensuring follow up tasks are completed

5. Work requires comfort working with databases, learning management systems and web-based platforms
6. Work requires the ability to work independently and exercise discretion and sound judgment, particularly when handling sensitive information.
7. Work requires understanding of trauma-informed care principles and cultural competence when working with diverse populations.
8. Work requires ability to learn new technology systems with appropriate training provided
9. Work requires the ability to maintain professional boundaries and uphold confidentiality.
10. Work requires proficiency with Microsoft Office products, Outlook, and the ability to acquire proficiency with other data tracking or support platforms.
Minimum Qualifications
High school diploma or equivalent is required. At least three (3) years of professional work experience in an administrative or operations role that required the use of email, calendar systems (Google Calendar, Outlook, etc.) and virtual meeting platforms (i.e. Teams, Zoom, Etc.) . Experience may include nonprofit, healthcare, housing, education, government or similar settings. Lived experience in recovery or working with recovery housing is considered a strong asset, but is not required.
Reporting Relationship
This role does not have direct reports, but success depends on effective collaboration with ORH staff, external partners, and individuals seeking assistance.
