The Dispatch & Brokerage Coordinator is responsible for coordinating the movement of freight by aligning customer shipments with both company drivers and approved third-party carriers. This role primarily focuses on securing capacity and covering loads for the brokerage division, while also supporting the asset-based dispatch team with load planning and driver assignments.
The Dispatch & Brokerage Coordinator plays a key role in meeting customer shipping demands by ensuring consistent capacity, optimizing asset utilization, and strengthening relationships with both internal drivers and external carrier partners. This position requires strong communication, decision-making, and problem-solving skills to effectively balance brokerage coverage and fleet operations.
Reports To:Director of Transportation
Primary Responsibilities:
- Dispatcher will act as the interlocutor that maintains a professional relationship between the transportation agency who performs the task of transporting the goods and the organization.
- Responsible for maintaining the FMCSA regulations for performing transportation business, in tandem with the Director of Transportation and Safety Coordinator.
- Responsible for TMS updates, order entry for assignments, update order status , track and trace shipments and equipment.
- Responsible for customer relationships
- Coordinate the shipping needs for the customers by examining items, destination, route, rate, and delivery time.
- The DP&BC plays an important part in providing the freight rates and pricing system to the customers that best suit the revenue goals set by the company.
- Keep customers informed by forwarding notices, shipment date and method, and status, answering questions.
- Apart from preparing the freight rates, the Dispatcher is expected to look after the management of the fiscal services involved in the freight procedures; holds the responsibility of completing the dashboards, revenue goals , financial claim and insurance forms; create fiscal documents, reports, and spreadsheet that depict the financial status of the freights.
- Monitor driver personnel and/or equipment locations and utilization in order to coordinate service and schedules.
- Record and maintain files and records of customer requests, work services performed, charges, expenses, inventory, and other dispatch information.
- Verify items shipped by matching bill of ladings; reconciling quantities; noting discrepancies.
- Perform other duties as assigned.
Knowledge and Skill Requirements:
- Experience in load planning, routing, posting, dispatching, and brokering.
- Experience and knowledge with 3rd party software and TMS packages.
- Clerical- knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures.
- Proficiency in contract negotiation, sales techniques, marketing methods, calculating freight rates, broker software, dispatching and tracking loads, factoring, and finding the proper freight and trucks.
- Public Safety and Security- knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, and/or national security operations for the protection of people, data, property, and institutions.
