What are the responsibilities and job description for the Operations Manager position at Ohio Care Access LLC?
The Director of Program Services will work in direct conjunction with the executive leadership team and the site leadership and staff to oversee the day-to- day operations of the sites and clients. The Director of Program Services is responsible for leading and managing a comprehensive array of residential services. The Director of Program Services will lead a team of Residential Managers and DSP’s within multiple locations.
A successful Director of Program Services will also exercise positive decision-making, appropriate independent judgments, and conferring with the supervisor on non-routine items or
problems. This position will have regular contact with support teams including families/guardians, Support Administrators, behavioral specialist, nursing etc.
Major Job Duties:
- Supervise, coach, mentor and evaluate all direct support professionals; includes managing personnel issues, ensuring compliance to agency’s personnel policies, and evaluating and reducing turnover and overtime.
- Monitor and approve timesheets/punches, mileage reimbursements, and time off requests and leaves of absences for all staff. Communicate with HR
and payroll as needed and ensure all necessary documentation is complete
and submitted.
- Oversee pre-employment and training for all new staff.
- Maintain up to date knowledge of all client’s ISPS
- Work directly with HR on all FMLA/LOA requests, status change forms,
Worker’s Compensation, ADA and employee corrective actions.
- Document and facilitate corrective actions to staff as needed. Turn in
corrective actions to HR as soon as completed.
- Ensure that each site is in compliance with all regulations—including fire drills, severe weather drills, crisis and emergency plans and that sites are stocked with emergency supplies.
- Ensure all site documentation is complete and timely (UIR forms, billing, MARS, shift notes, weekly checklists, ETC.)
- Maintain consistent communication with Quality Assurance and Program departments on site needs and seek help or guidance when needed.
- Identify the hiring needs for Ohio Care Access. and work in conjunction with
Human Resources to help facilitate with the interviewing and hiring process.
- Train, evaluate and mentor all direct reports, including annual performanceevaluations and ongoing feedback and coaching. Conduct staff meetingswhenever needed.
- Ensure staff members are in compliance with all mandated training
- Ensure that schedules for each site meet the needs specified on the CPT.
- Manage and participate in the on-call rotation.
- Oversee the overall functioning of the sites, coordinating care though theResidential Managers and Direct Care staff. Seek guidance fromadministration when necessary.
- Ensure client needs are met, including obtaining and maintaining adaptiveequipment, assisted technology, other adaptive modifications to the homeand property
- Maintain communication with SAs regarding client services and ensure
accurate and up to date information is provided to SA and reflected in ISP
annually and throughout span as changes are needed.
- Attend all ISP meetings, providing current client specific information andcompleting any required documentation. (FRR, Annual Releases and SelfMed Assessments)
- Maintain up to date knowledge of all client’s ISPs—including all medical,psychiatric, behavioral, nutritional, social and physical needs and ensurethat staff are adhering to each ISP.
- Ensure appropriate communication systems are in place between
Program and Day/Activity programs.
- Develop and implement UIR prevention plans. Assist in the MUI processwhen required
- Monitor each client budgeting and receipts, and client budgeting. Try toreduce costs for the clients whenever possible.
- Perform other duties as assigned.
Minimum Qualifications and Requirements:
- Age 21 or older
- 3 years experience working with Individuals with developmental disabilities
- Must have excellent communication skills, both oral and written.
- Must have solid computer skills and understanding of MS Word, Excel and e-mail.
- Must have strong time management, organizational and problem solvingskills.
- Must demonstrate integrity and strong background in leading others.
- Must have a belief in and understanding of agency’s mission and ability topromote and communicate the philosophy.
- Must have reliable transportation, a valid Ohio driver’s license with fourpoints or less, and auto insurance.
- Must have satisfactory health, background check and drug test.
- Required to work hours in the field and office each week. Also required to work billable shifts when necessary.
